Job Description
Bookings and Catering Assistant
Reports to:Centre Manager
Hours: 35 hours per week to be agreed (usually between 8:30am and 5pm Mon-Fri)
Objectives of the post
- To help ensure office reception is staffed during office opening hours and catering is available in response to the demands of the room booking diary.
- Maintaining excellent standards of hygiene and service in the food preparation areas and in the delivery of catering to hirers.
- To always give excellent customer service and support by being friendly, welcoming and helpful.
Detailed responsibilities
To staff the office reception desk
- ensuring all enquiries at the main reception desk are responded to promptly and appropriately
- ensuring telephone enquiries are answered or calls transferred as necessary
- Meet and greet room users on arrival
- Check rooms before room users have departed
- Responsible for ordering office supplies
To assist in deliveringthe room bookings serviceincluding:
- responding to room booking enquiries including ensuring new room hirers complete new user forms and references are taken up
- helping prepare the paper booking diary and ensuring the accuracy of all entries into it
- entering data into the computerised booking system (TAS) and ensuring the database of room hirers is kept up to date
- helping ensure all confirmed bookings details are entered into the computer booking system and paper diary
- issuing room hire invoices as instructed by the Bookings Officer
To assist in the marketing and promotion of the Conference Centre including
- helping update the conference centre website
- assisting in maintaining the Facebook, Twitter and other social media presence of the Centre
- assisting the Publicity Group in preparing posters, leaflets and other material
Catering
- Serve Refreshments to room hirers and clear away afterwards
- Maintaining cleanliness of kitchen and equipment store areas
- Maintain stock control and ordering of catering supplies and equipment
- Work with booking staff to plan and prepare for the catering needs of room hirers
- Liaise with catering suppliers
- Liaise with other users of kitchen areas to ensure efficient and proper use of resources
Personal professional development
- playing a full part in whole team staff meetings and development of the staff team
- identifying and undertaking training for personal professional development
Any other duties as identified and agreed by the Centre Manager

Essential Requirements
Excellent customer service skills
A clear and confident telephone manner
Good written English skills
Competent using Microsoft Office
A careful and methodical approach to carrying out data entry work
Experience of office work
A strong work ethic
The ability to work in a team and also to be self-motivated
