1.0Outline of position

The post-holder play a key role in support the Finance team. In particular their role will cover sales ledger, purchase ledger, rents and service charges. You will cover for rent budgeting and setting and in particular you will provide assistance to the Lead Management Accountant in dealing with tenants and leaseholders in the provision of service charge information, including audited statements and the financial accounting of those services.

You will be required to act as a link between the Finance and Housing teams to ensure good communication of knowledge and information.

3.0Main responsibilities

3.1To be responsible for the setting of rents of new properties, on the re-registration of existing units and assisting the lead management accountant with the planning/co-ordination of all rent increase exercises.

3.2To act as cover for the point of contact with both leaseholders and tenants on service charge payments.

3.3To provide service change costs and work with the Lead Management Accountant and estates management in completing the budget setting for service charges.

3.4To review and set service charges.

3.5Contribute to the operational and strategic planning of the housing team’s responsibilities and ensure that financial matters are planned and incorporated in liaison with the Lead Management Accountant.

3.6To manage the sales ledger, including the processing of invoices/statements, matching of receipts and month end procedures.

3.7Liaise with budget holders to ensure that all income is recovered in accordance with the Finance Regulations.

3.8To assist in managing the purchase ledger system, including the processing of invoices/orders, liaising with budget holders and the Finance team to ensure correct coding and ensuring payment of suppliers in accordance with the bank mandate.

3.9To post all rents received to the IBS system to ensure the correct recording of tenants’ rent payments.

3.10To manage the reconciliation of all the rent accounts to provide accurate information for the month end management accounts.

3.11To provide cover within the Finance team where needed.

3.12To ensure departmental and personal objectives defined in the Association’s Operational Plan are achieved.

3.13To demonstrate a pro-active commitment to Equal Opportunities and Diversity and its delivery.

3.15To actively contribute to designated corporate Business Improvement Projects.

3.16To undertake any other duties consistent with the level of this post as directed by the Lead Management Accountant.

4.0Implementation of Job description

It is inevitable that duties will change to reflect organisational change. The Lead Management Accountant and the post-holder will develop and evolve the detailed tasks required for this position as part of our performance management process.
