SPECIFICATIONS

Features of the event

Introduction

The VESPA Regularity CHAMPIONSHIP consists of different tourist events arranged by each local Vespa Club associated to the National Vespa Club member of the Vespa World Club.

The Vespa World Club supervises the Championship and every competition.

Every test of this Championship is defined like a mandatory average speed tourist manifestation.

1) Location

Each Local Vespa Club has to select an area on its own city in order to be high noticeable and easy-to access.

We prefer city central places or passage/meeting points in order to support the affiliation and the entertainment spirit of the Vespa world and its events.

Industrial estates, peripheral parking and any other place are excluded.

The location needs the approval of the VWC: if the location doesn’t respect the above-mentioned conditions the stage will be eliminated.

2) Spaces set-up

Set-up includes:

·  Start/arrival area

·  Secretary’s office area – Vespa Club, Vespa World Club and sponsors

·  Checkpoints

·  Closed park

·  Vehicle parking, Vespa transport/assistance

3) Set-up

The hosting area has to be enough expansive in order to contain the set-up of the closed park, secretary’s office area, inspection area and Piaggio dealer. However, it will be better to choose a place that could host the set-up of a special stage (see regulation).

If that’s not possible, one of the Special Stages at least has to take place in a high noticeable area.

If necessary, an audio system will be required to provide for communication needs.

The choice of the space can and has to be agreed together with the VWC that will supply for the following common set-up:

·  N° 1 Secretary’s office stand: area m. 4,60 X 4,60. Useful area m. 3 X 3. H 4 m.

·  N° 1 Checkpoint stand: area and useful area m. 3 X 6

·  N° 1 Dealer stand: area and useful area m. 3 X 6

·  N° 1 In-flat stage: width m. 8 X 1 x 5 h

Moreover, the VWC offers to each promoter Vespa Club:

·  N° 15 banners (m. 3 x 1) VWC

·  N° 15 banners (m. 3 x 1) Vespa Rally

·  N° 1 banner (m. 10 X 1) Moto Lega.

Advertising banners of competing subjects are not allowed, except for sponsor banners of the promoter Vespa Club.

4) Connections

The promoter Vespa Club has to prepare a power supply next to the in-flat stage.

The connection will include an EEC socket.

If this is not possible, the Vespa Club will promptly inform the VWC who will dispose a generator.

5) Permissions

The promoter Vespa Club must demand to the local authorities all the permissions in force in the hosting city both for Civil service and Collective Security.

Any kind of burden related to the public land occupation is up to the Vespa Club.

Each promoter Vespa Club has to be member of the Federation ASI (Alleanza Sportiva Italiana).

6) Security/Emergency and Medical assistance

Location and checkpoint set-up is made carefully in order to assure top security both for public and/or participants.

If necessary, the access of public and/or participants will be restricted in some areas.

Promoters need to include different safety measures to avoid situations of danger for competitors.

The promoter Vespa Club must arrange an aid station (Ambulance) with doctor on board: this aid station is in the centre of the location and will be available all the manifestation long.

The Ambulance has to be ready to operate directly or on a rescue call.

7) Insurances

The promoter Vespa Club must possess a coverage policy for the event.

The policy can be signed in any reliable companies.

ASI offers a particular product addressed to its affiliated Associations/Groups. The lack of the above-mentioned elements implies the elimination of the stage.

8)Length of the racecourse

For the minimum length please see the Rules. Each promoter Vespa Club will be able to increase discretional kilometres after an equal evaluation of duration and organizational times respecting the traffic rules. The event could last more than a day.

The VWC could allow different courses if necessary.

The course is indicated on a map (Road Book - RB) that the promoter Vespa Club will give participants. See the Rules to know how to create the BR

Normally the course is open to the traffic and participants must respect the traffic code.

Special Stages have to be arranged in a forbidden traffic area and the access is allowed only to participants.

You need specific access limitations for public. It’s necessary to consider every kind of danger both for participants and public in order to change the course and/or operate to solve it.

The VWC can avoid the Special Stage not congruent with the above-mentioned elements.

The promoter Vespa Club will chart the course of every competition depending on its tourist and landscape features, its safety and accessibility both for people and Vespa.

9) Technical features of the competition

See the regulation.

Each Club can increase the above-mentioned elements if necessary.

10) Participant’s papers

The promoter Vespa Club will give participants a “welcome kit” that includes:

·  Road Book (see regulation/following point)

·  Disclaimer (see the form provided by the VWC)

·  General and particular regulation

·  Tourist information material about location and course

·  Bib number

·  Sticker banner with the competition number (provided by the VWC)

·  Other gadgets

11) Road Book

The promoter Vespa Club, as a course selector, has to prepare a road book of the racecourse based on the form provided by the VWC.

There will be clearly indicated:

·  Partial and complete course (in m. or km) from the start inclusive of any crossroads/structures of the racecourse (see example)

·  Duration according to the average calculated by Promoters.

12) Timekeepers/Staff

It’s the promoter Vespa Club to choose timekeepers for the competition

Moreover, a specific “Trained Staff” will be responsible for the organizational customer care. This Staff will be easy to recognize thanks to apposite bibs, jackets or other kind of clothing.

The Staff is also engaged in the control of public according to the laws in force.

The promoter Vespa Club nominates also a Competition Director who cannot be a member of the same Club and he cannot absolutely take part in the competition.

The Regulation of the Vespa Rally Championship includes technical and administrative inspections.

We recommend committing these tasks to a specific trained staff.

13) Participants

Registrations will open 15 days before the beginning of the event at least. The Clubs can choose the payment method of the entry fee (transfer, postal order etc).

The entry fee for each competition of the 2013 Vespa rally is 35 Euro per participant.

Vespa World Club doesn’t give gadgets except for an appropriate number of VWC stickers.

14) Vehicles

All types of Vespa and Cosa are accepted in the Vespa Rally Championship. Their competition is ordered according to the following categories:

·  8-inch wheels

·  10-inch wheels (excluding the ET2 and ET4 seryes)

·  Automatic Vespa

Vehicles must:

·  Respect the traffic rules;

·  Have an optimal efficiency

·  Have an RC coverage

·  Have regular papers and documents.

The Promoter Vespa Club will be responsible through its Staff for the selection and vehicle inspections. The Director of the competition will be able to exclude from the competition a primed Vespa because of technical/administrative reasons.

15) Catering/Hotel facilities

The promoter Vespa Club has to guarantee at least one cocktail party optionally for the Award Ceremony.

All the Vespa Clubs commit themselves to find agreements with the local accommodation groups and institutions so that participants could enjoy their stay at the best.

16) Sponsor

Each Vespa Club can subscribe sponsorship contracts with everyone except for companies/ competitors of Piaggio and its partners.

The VWC can exclude sponsors not congruent with Vespa

17) Communication and image

The Vespa World Club has to study the general image of the VRC that each Vespa Club must respect. But, every Club will choose the name/logo of its own event arranging a specific web site, if desired.

Any kind of publication, local too, (brochures, posters, books etc.) related to the events has to be agreed with the general promoters who make themselves available for graphic production.

Moreover, promoters accomplish the graphic design of the Bibs.

Local sponsors will be inserted in apposite spaces of the BIB numbers above.

18) Rankings

The VRC includes the following general and local rankings:

·  8-inch wheels: 1st place

·  10-inch wheels: 1st place

·  Automatic wheels: 1st place

·  The first 10 absolute position

·  The Absolute 1st

Each Vespa Club can specify personal rankings (x example female, team etc.) that will not influence in the general ranking.

19) VWC contribution

The VWC will offer to the promoter Vespa Club a contribution of € 1500,00 after the end of the manifestation.

Moreover, the VWC attends to:

·  Coordinate the Vespa Rally Championship preparing the regulation and the planner.

·  Act as General Organization Offices (info about the Championship, general rankings editing, publication of images stage after stage).

·  Realize the graphic design of the Championship and every event

·  Transport all that is included in the set-up, we need 2 guy from each Vespa Club who help the set up and the pick up of all VWC materials.

·  Provide for the number sticker for each partecipants.

·  Provide for the awards for the stage specific rankings (see regulation)

·  Assign the first 3 awards of the Championship

·  Offer to the Vespa Clubs an organizational support through by the VWC Secretery

·  Signal boards SS, SC, TC, TSC, Closed park, checkpoints, no stop, Stop

·  Other (see set-up)

20) Promoter Vespa CLub

The promoter Vespa Club has to respect all these specifications, or its own stage will be eliminated.

Moreover, 2 people of its staff will be engaged in the logistic support and collaboration with the commissioned agency by the VWC for the general set-up.

The promoter Vespa Club attends to:

·  Chart the course of the event, write the RB and make a copy for all the competitors.

·  Produce, through its usual provider, the bibs number that competitors will dress. The sponsor space is free except for the above-mentioned limitations; you need deliver logos of the local sponsors for the bib’s graphic in digital format within and not beyond 15 working days.

·  If the sponsor space is not enough, the promoter Vespa Club could establish a single sticker to put on the vehicles.
