Job Title: Development Assistant

Supervisor: Director of Philanthropy

F.L.S.A.: Non-Exempt

Summary –The PCTA is seeking a part-time Development Assistant to assist the Director of Philanthropy with our growing corporate and foundation programs, coordinate fundraising and membership events, and provide administrative support for the major gifts program. This position will also provide general clerical support to the development team. The ideal candidate will have excellent organizational and administrative skills, ability to communicate effectively in writing and verbally, attention to detail, and enthusiasm to join a dynamic and growing team. This position will lend critical support to help achieve the fundraising goals of the organization.

Essential job functions and tasks are:

Corporate and Foundation

  • Maintain grants calendar for submission and reporting
  • Assist with grant applications and follow-up
  • Help prepare corporate proposals and agreements
  • Track corporate partnership activities and coordinate with the Director of Philanthropy to schedule partner recognition
  • CoordinateCommunicator magazine advertising orders
  • Record in-kind gift donations
  • Coordinate Outdoor Retailer show registration and supplies
  • Prepare thank you letters for corporate and foundation donations

Major Donor

  • Support major gifts team with preparation of custom correspondence
  • Prepare presentation folders for donor visits
  • Help maintain records in Raiser’s Edge (RE)
  • Take notes during monthly portfolio review meetings and update RE.

Events

  • Coordinate Annual Meeting and Trail Dirt Live events
  • Support the planning, execution, and follow-up for fundraising and cultivation events

Development Department

  • Support the Director of Philanthropy on priority projects
  • Prepare and ship acknowledgement gifts and external fundraising event supplies
  • Serve as back-up to the Development Data Entry Clerk
  • Help maintain accurate constituent records in RE
  • Upload appeal codes, contact reports and event actions in RE
  • Manage development department stationery and supplies inventory
  • Track development submissions for quarterly PCT Communicatormagazine
  • General administrative tasks (scanning, sorting, filing, copying, answering phones)
  • Prepare bank deposits and take them to the bank using personal vehicle

Other

  • Attend staff meetings, hikes, and annual retreat
  • Speak passionately about the PCTA mission

Education and Training:

  • High school diploma required
  • Some college preferred

Experience and Qualifications:

Required

  • A minimum of oneyear experience in an administrative position, preferably in a nonprofit development office
  • Exceptionally well-organized
  • Excellentverbal and written communication skills
  • Knowledge of correct spelling, grammar and punctuation
  • Comfortable talking to donors, volunteers, and vendors by phone and in person
  • Experience with data entry
  • Experience with Microsoft Office
  • Strong attention to detail
  • Ability to prioritize multiple duties and assignments
  • Ability to work independently and as a team player
  • A strong interest in the mission of the PCTA

Desirable

  • Experience with Raiser’s Edge database software or similar membership database
  • Event coordination experience
  • Experience with cloud-based computing (Box, Asana)
  • Sense of humor
  • Outdoorexperience
  • The ability and willingness to travel on the PCT

Physical Requirements:

  • Must be able to lift 25 lbs.
  • The ability to sit for several hours at a time

Typical Working Conditions:

The Development Assistant will work in the PCTA headquarters, currently located in Sacramento, under the supervision of the Director of Philanthropy. This position requires the employee to sit at a desk for several hours at a time.

Equipment Used:

The Development Assistant will work at a desk with a desktop computer, necessary computer peripherals and other common office equipment. This employee will be required to use a personal vehicle to run errands and make bank deposits. Mileage will be reimbursed.
