Thank you for your interest in the post of Activity Coordinator.

St Asaph Cathedral is a place of worship and the mother church of the St Asaph diocese. It is also a historic building which attracts visitors. Funding from the Heritage Lottery Fund has enabled the Cathedral to develop a project that provides new exhibitions that explore the heritage of the Cathedral and the history of the William Morgan Bible, translated in 1588. There is also a programme of activities and outreach events that will encourage new audiences from across the UK and world-wide to discover this heritage and to get involved. There are also opportunities for volunteers to contribute to the project.

With funding from the Heritage Lottery Fund, the Cathedral wishes to appoint an Activity Coordinator to support and coordinate the work of the volunteers and oversee the delivery of the activities outlined in the Activity Plan. The Activity plan is a comprehensive document detailing the background to St Asaph Cathedral’s HLF project, and will be available in its entirety to the successful applicant. Relevant sections of this plan are included in a separate document on the website.

The successful applicant will join the small, friendly Cathedral Administration Team based at the Cathedral in St Asaph.

JOB DESCRIPTION

Job Title:Activity Coordinator

Reporting to:Administration & HR Officer

Managed by:Administration & HR Officer

JOB PURPOSE

To support and oversee a team of volunteers and oversee the delivery of the activities and events outlined in the Activity Plan.

KEY RESPONSIBILITIES

  1. Manage the programme of activities - planning, promotion, coordinating and delivering activities and events
  2. Oversee volunteers – planning, recruiting, training and supervising
  3. Develop existing schools programme – appoint consultant, develop workshops, oversee volunteer training, support volunteers
  4. Assist with paperwork for HLF progress reports and evaluation – appoint evaluation consultant, keep accurate records of volunteer hours and user numbers

DUTIES AND RESPONSIBILITIES

1. Manage the program of activities

a) Planning the programme of activities as outlined in the Activity Plan excerpt

b) Day to day management of the activities programme

c) Develop relationships with project partners (as outlined in the Activity Plan excerpt)

d) Coordinate and deliver the workshops and activities for target audience groups

e) Coordinate and deliver the activities and events for families

f) Organise the promotion of the activities programme including marketing and events

2. Oversee volunteers

a) Recruiting sufficient volunteers to staff activities programme

b) Plan and coordinate the delivery of training for volunteers

c) Coordinate volunteers and ensure all volunteer roles are filled

d) Supervise volunteers during activities

e) Plan rotas

3. Develop existing schools programme

a) Appoint consultant to develop new school workshops

b) Recruit new volunteers specifically for school sessions

c) Oversee volunteer training for schools programme

d) Support volunteers in delivery of school workshops and outreach for schools

4. Assist with paperwork for HLF progress reports and evaluation

a) Keep accurate records of volunteer hours and user numbers

b) Make regular progress reports to the project steering group

c) Appoint evaluation consultants

d) Work with the evaluation consultants to complete an evaluation framework for the HLF project

Qualifications and Experience /
  • Good sound general education
  • Relevant degree
  • Either a qualification in museum or heritage studies, teaching, community learning or equivalent, or be able to demonstrate relevant experience

  • Experience in museum, heritage or community learning environment
  • Experience of coordinating volunteers
  • Experience of planning, managing and coordinating education or community activities
  • Experience of using archives or museum collections or historic buildings to engage people with heritage
  • Emergency First Aid

Skills and Abilities /
  • Excellent communication skills with ability to relate with people in a warm & approachable manner
  • Ability to establish and manage relationships with a range of stakeholders
  • Ability to work to deadlines and under pressure
  • Ability to prioritise work effectively
  • Understanding of, and empathy with Welsh culture
