Main Duties:

  1. Manage the diary and time of the Unit Manager using recognised follow-up techniques and ensuring fluid control of pending activity.
  2. Provide a text processing [typing], and excel workbook service to the Unit Manager, Clinical Nurse Managers and nursing team, as and when required.
  3. Plan, prepare for, and coordinate MDT meetings and CPA reviews.
  1. Ensure clinical reports, required for the MDT meetings and CPA reviews, are received in a timely manner from clinicians and nursing staff.
  1. Ensure reports for the MDT meeting and CPA reviews are collated, presented and disseminated to other relevant agencies in a timely and professional manner.
  1. Provide a note taking facility at the MDT meeting and CPA reviews.
  1. Ensure an accurate record of the MDT meeting and CPA review is presented in meeting minutes, and ensure these are disseminated in a timely manner to professionals internal and external to the Company.
  1. Keep service users files and records up to date and in order, acting on renewals for regulatory requirements, raising any anomalies or queries with the Unit Manager.
  1. To ensure money belonging to service users is kept safe, and appropriately recorded, in accordance with Company policy.
  1. To report any concerns and/or observations related to the safety and welfare of the service user.
  2. To observe guidelines, policies and procedures around the safeguarding of vulnerable adults.
  1. Demonstrate a caring and respectful approach to the service user, their family, colleagues and other professionals.
  1. Communicate and liaise with all staff in the unit furnishing them with all information required in order to maintain standards
  1. Liaise with the Referrals Coordinator in relation to service user admissions and discharges.
  1. Oversee and attend to visitor hospitality in a professional manner
  1. Under the supervision of the Unit Manager prepare, administer and disseminate staff rotas in a timely manner, taking into account annual leave and training absences.
  1. Maintain staff records via Cascade in a timely manner, identifying and raising any anomalies or queries with the Unit Manager.
  1. Keep personnel files up to date, acting on renewals for regulatory requirements.
  1. Bring to the attention of the senior unit management unethical and unsatisfactory behaviour or performance of staff.
  2. Under the supervision of the Unit Manager, place relevant orders for food, cleaning material etc.; and ensure corresponding invoices are administered in accordance with Company policy.
  1. Provide information to the other departments within the organisation e.g. Finance, Governance, Human Resources, Property etc. in accordance with Company policy, and as and when requested.
  2. Maintain an excellent standard of communication with other internal departments and external contacts.
  1. Maintain personal up to date knowledge and attend all mandatory training.
  2. Ensure relevant electronic equipment is maintained and in good working order
  3. Ensure all company policies and procedures are maintained, within the unit, in accordance with the Governance requirements.
  4. Co-operate fully in fire drills, evacuations, equipment testing etc.
  5. To immediately report accidents and /or incidents and/or complaints to the nurse in charge.
  6. To report any concerns or observations related to the physical condition, comfort and/or security of the environment, and ensure that contractors attend in a timely manner.
  7. Contribute to the achievement of the Company aims, objectives and initiatives in a positive and cohesive manner.
  8. Contribute to achieving the ‘outcome targets’ of the Quality Strategy, and to be accountable for agreed individual contribution.
  1. To fulfil relevant legislative requirements e.g. Health and Safety.
  2. To carry out other duties as required commensurate to the post and grade.
  3. Observe the principles of the Data Protection Act and maintain confidentiality of information and data relating to; individuals within our care, our staff, our service and our Company.
