Contract length / April 2015 until March 2016 / 37 hours per week
job purpose:
Provide high-quality administrative support to the multi-disciplinary Domestic Violence Team.
Providing general administration support to the adult’s services team in liaison with Safer Preston Service Manager
Duties will include data input of highly sensitive and confidential information and general administration including dealing with calls, emails, post and photocopying.
Additionally the job will include aspects of Web Update, Social Media management, minute taking, typing and meeting and greeting clients who are emotionally distressed.
Primary Role and Responsibilities:
  • To provide a data entry support service onto a bespoke Domestic Violence database
  • To assist and provide monitoring information as requested by managers and external funders
  • To provide a telephone support function by answering calls from clients and outside agencies and taking accurate and relevant information
  • To contribute to ensuring that Safer Preston quality standards are met at all times
  • To provide a copying and scanning service for the Safer Preston Team
  • To ensure any confidential documents are stored confidentially and shredded when appropriate
  • To monitor supplies and stationery for the team and place orders when requested
  • To ensure stationery store is kept tidy at all times
  • To update Safer Preston Domestic Violence Team website as requested
  • To manage and monitor Safer Preston’s Social Media
  • To provide a minute/note taking function for any internal team meetings and ensure a timely turnaround of typed notes.
  • To ensure all incoming and outgoing post is dealt with on a daily basis
  • To meet and greet clients of Safer Preston and ensure they are made to feel welcome and reassured.
  • To assist with the administration of staff annual leave
  • To assist in reviewing both electronic document storage and paper files
  • To provide support booking meetings and venues for events and sessions
  • To assist with monitoring and paying of Petty cash as requested by Admin and Finance Manager
  • To assist with the administration of Invoices from time to time

  • Where required represent Safer Preston at any local events
  • Ensure that national and regional safeguarding policies and procedures, systems and tools are followed.

Additional Requirements:
  • To work flexibly including evening and weekends when required, office hours 9 till 6 .
  • To engage in regular supervision with line manager
  • To engage in all relevant training as appropriate with grade and post.
  • To attend multi agency and management meetings as appropriate.
  • Liaison and engagement of other professionals as appropriate.
