Exams Policy

Bromley Pupil Referral Service is committed to ensuring that we run an efficient exam system with clear guidelines for all users.Each Department should nominate one person who will take responsibility for liaising with the Examinations Officer on Entries/Withdrawals and Coursework.

All Exam Board Literature is kept in the Main School Office and is accessible during the School Day.

Entries

All Candidates will be entered by the due date set by Exam Board. It is the responsibility of Departments to ensure that the correct information is given to the Exams Officer prior to the Deadline.

Amendments

Withdrawals will be accepted by the Exams Officer up to the date set by the Exam Boards. Any late entries/withdrawals will be charged to the relevant department, unless there are exceptional circumstances. This decision will then be made by the Head Teacher.

Change of Tier

This will only be permitted prior to the Late Entry Date set by the Exam Board, where there is evidence of exceptional circumstances. This decision will then be made by the Head Teacher. A change of Tier will not be permitted on the day of the Examination, unless there has been an error that is outside of the Schools control.

External Examinations

The Exams Officer is responsible for the organisation and conduct of all External Exams and the following:-

  1. Final confirmation of entry numbers and levels.
  2. All sealed Exam Papers to be checked with Department Heads upon receipt.
  3. Safe/Secure storage of Exam Papers.
  4. The Subject Teacher/Head of Department may only be present at the start of each subject Exam, not for the duration.
  5. Exam Papers must not be removed from the Exam room until the end of the Exam.
  6. All Exams will be conducted according to the rules laid down by the Exam Boards and within the start and finish times determined by the Boards.
  7. Candidates must be seated in accordance with the Seating Plan.
  8. Any misconduct or irregularity must be reported to the Exams Officer as soon as possible, who will then inform the relevant Exam Board.
  9. In the absence of the Exams Officer, at the end of any Exam, the papers will be collected and collated for collection by a member of the Management Team.
  10. Students will not be allowed to leave the Exam Room until their Exam paper has been collected and in accordance to the rules laid down by the relevant Exam Board.
  11. The despatch of Exam Papers is the responsibility of the Exam Officer or the Management Team in his/her absence. The Carrier for Exam Dispatch is Parcel Force and collection arrangements for all Exams will be made by the Exam Officer prior to the start of any Exam Series.

Invigilation

  1. The Exams Officer will ensure that each Exam Session will have a designated Invigilator in charge, whose role will be to oversee the conduct of other Invigilator’s and uphold Exam Regulations as laid down by the Joint Council for Qualifications (JCQ).
  2. The Exams Officer/Management Team/Invigilator in charge is responsible for ensuring that Candidates are seated according to the Seating Plan.
  3. Invigilators must not take any work/reading material into the Exam room, they must give their full attention to the conduct of the examination, as laid down by JCQ.

Coursework

It is the responsibility of each department to ensure all coursework is ready to be despatched in time to meet the Submission Date laid down by the relevant Exam Board. The Exams Officer will despatch the coursework. Departments are responsible for informing the Exam Officer of any possible delays in the completion/collating of coursework in reasonable time, not on the last day for despatch.

Results

  1. Results will be available on the day notified by the Exam Boards.
  2. Heads of Department/Subject Teachers are responsible for checking the results and any possible scrutiny of them.
  3. Any queries/request for re-mark/re-grade should be made in writing to the Exam Officer within three working days from the release of results.

Access Arrangements, Reasonable Adjustment and Special Consideration

  1. Heads of Department/Subject Teachers are responsible for informing the SENCO of any Candidates that will require Special Consideration/Access Arrangements at the start of their embarking on a qualification.
  2. It is the responsibility of the SENCO to liaise with the Exams Officer regarding any arrangements for Special needs that may need to be put in place for Candidates.
  3. The SENCO will ensure the Exams Officer has all relevant information on each candidate with special needs.
  4. The Exams Officer will apply to the Boards for any Special Consideration.
  5. The Exams Officer will ensure that any agreed arrangements/special consideration will be implemented.
