The Database Manager will play a lead role in managing our collection, storage and use of supporter information.

The post holder will play a critical role in the development and the delivery of the fundraising data strategy and the management of the Raiser’s Edge database, to ensure accurate and consistent information is collected, stored and used across the directorate, in line with our legal obligations. Working with the Senior Insight and Database Manager and members of the Fundraising Management Team, the post holder will support the delivery of the organisational plans, and the development of fundraising income plans and budgets.

Job Purpose

This role, as a manager in the Supporter Insight and Engagement team (inthe Fundraising and Supporter Relations directorate), will lead on managing our supporter database, and ensuring that information is stored in the most efficient way possible, to enable effective supporter care, leading edge data analysis and effective marketing processes. Specifically, this role will maintain and develop our data integrity and reporting to inform fundraising-wide analysis, and run complex selections to support our donor communications and growth plans and targets. This is an opportunity for an experienced database manager to work with our team heads developing our supporter journeys and supporter engagement processes, shaping decisions to improve our marketing and fundraising performance.

Key Accountabilities

  • Work with the Senior Insight and Database Manager, senior fundraisers and the charity’s external agencies to provide high quality database servicesin support of the organisation’s fundraising strategy
  • To support the development of KPI’s and data strategies to support database activity and supporter engagement
  • Act as the key delivery partner for Fundraising teams and others across the organisation in meeting their database marketing requirements, working closely with the Supporter Journeys Manager to ensure that data requests in the Marketing Prioritisation Process are fulfilled according to the schedule
  • To have an in depth knowledge of RE capabilities and limitations that can be expressed in ways that others in the organisation will understand
  • Apply and develop analytical tools for the directorate, including Excel, Crystal Reports and SQL
  • Undertake regular segmentation of the database, drilling down to understand the data, anomalies and impact of actions
  • Understanding of the internal stakeholders needs
  • Manage the RE Support Desk which details requests from staff.
  • To provide guidance, protocols andreview existing or create new procedures for staff to follow and liaise with the Resources directorate
  • To undertake RE training of staff, temporary staff and volunteers as required.
  • To analyse communication / gift responses, results and provide regular reports for marketing and management purposes as required.
  • In conjunction with the Senior Insight and Database Manager, liaise with Blackbaud to ensure database is maintained and upgraded as necessary and provide information for staff on the upgrade changes
  • Oversee the import of external data using appropriate data mapping and support the Database Officer in the performance of this task
  • Liaise with fundraising staff to ensure documentation carries correct Data Protection, PCI-DSS compliance and Gift Aid declarations
  • Liaise with Finance/Resources to ensure R68 has the correct qualification rules and data integrity checks to maximise income and minimise the risk of repayments/fines to HMRC.
  • Oversee and support the Direct Debit process on RE working with the Database Officer to ensure this key income process I managed in a timely and efficient fashion and developing income reports for the Public Fundraising team
  • Maintain accurate address data by procuring regular PAF updates and using the RE address validation tools to correct non-compliant addresses.
  • Use Global Add, Change and Delete expeditiously to manage major changes to the fundraising database.
  • Maintain and develop the RE configuration with respect to Constituencies, Attributes, Tables and Fields
  • Building of complex queries
  • Data transformation skills for efficient export or receipt of data from third parties
  • Administer the Raiser’s Edge security to ensure that RE users are provided with the appropriate rights of access to the data to maintain confidentiality.
  • Prepare and maintain user help documents relating to Campaign processes and procedures.
  • Liaise with fundraisers to revise and implement new procedures to enhance the database
  • Involvement with Marketing Prioritisation Process
  • Liaise with Finance on a continual basis to ensure RE and Sage can be reconciled
  • Ensuring Supporter Contact Assistant is given the training and support required to undertake duties and develop in the role
  • To run the data selections and imports for wear it pink, our annual flagship mass participation event, and document the data process

Person Specification

A Deliverer:

  1. A proven ability to work as part of a non-income generating team, in a way that demonstrably increases value and supports the delivery of net income aspirations/ fundraisers
  2. A demonstrable understanding of metrics and ways of working necessary to support the running of multi-year, comparable programmes
  3. Experience of personally delivering to defined and challenging goals
  4. Manage numerous projects and deadlines concurrently.
  5. Measured confidence and ability to take initiative on independent and routine work – innovative thinking, problem solving, backed with awareness of developments in sector.

Highly Numerate:

  1. Ability to differentiate between data and information, and to work with functional teams to help them understand the important factors they should be focusing on
  2. Demonstrable experience of managing supplier relationships to deliver agreed targets/ SLAs
  3. Up to date and current with Microsoft Office package and updates relating to Blackbaud and their products.

A Leader:

  1. Demonstrable ability to work collaboratively across departmental boundaries to achieve shared organisational goals, and to work in cross-functional teams to deliver shared aims.
  2. A demonstrably clear external orientation - someone who is focused on our market and our supporters, and has a strong up-to-date knowledge of data

Hours of work

Staff are required to work 37 hours a week from 9.00am to 5.30pm Monday to Thursday and 9.00am to 5.00pm on Friday excluding an hour break for lunch each day. The Charity reserves the right to vary these normal hours of work.

Whilst every effort will be made to ensure that your workload does not require you to work beyond these hours you may from time to time be required to work any additional hours considered necessary to meet business needs.

Staff are not entitled to any payment in respect of any hours worked in excess of their normal weekly hours but the Charity operates a “time off in lieu” arrangement.

Annual leave

Staff are entitled to 25 days holiday per calendar year rising to a maximum of 30 days after the following periods of service:
