Job Title:MEDICAL RECEPTIONIST

1. JOB PURPOSE

To ensure that enquiries from customers and clients are efficiently and courteously handled to the mutual satisfaction of Dr Marshall and customers. Make sure the filing, record keeping, and distribution of documents is undertaken efficiently and promptly and that the Practice procedures and systems are effectively carried out and adhered to.

2. DIMENSIONS

There are approximately 3,600 patients registered with the Medical Practice.

The centre also hosts a NHS dental service, Citrus Dental Care, which has a growing number of patients currently. The Challenging Behaviour General Practice runs 2 days a week from the Practice.

The Medical Practice staff consists of 1 Principal GP, 1 Salaried GP, 1 Practice Manager, 1 Practice Nurse, 1 Healthcare Assistant, 3 full time Receptionists and 1 part time Receptionist (VACANCY).

The Challenging Behaviour Practice has 1 GP, 1 Practice Manager (shared) and 1 Practice Nurse.

3. KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Reception Desk & Administrative Duties

  • Opening / closing premises and transferring telephone services appropriately
  • Receiving and routing customers and clients on arrival
  • Answering general enquiries and explaining surgery procedures
  • Report results to patients under GP instructions
  • Providing information
  • Log any incidents / accidents that may occur
  • Respond to the day to day issues that may arise within the clinic and resolve problems wherever possible
  • Posting outgoing external mail
  • Receipt and distribution of internal mail including laboratory samples
  • Assist with clinical trials and audits if required
  • Undertake tasks allocated by the Management team
  • Restock doctors rooms
  • Restock all relevant paperwork required at the reception desk
  • Updating cervical smear recalls on the SCCRS system
  • Provide absence cover within your team

  • Adhere to the confidentiality policy

Medical Records

  • Maintain patient records
  • Logging incoming and outgoing medical records (electronic and paper note)
  • Clinical coding

Waiting room

  • Re-stocking of information leaflets and posters as appropriate
  • Maintaining order of the Waiting Area
