ADMINISTRATIVE ASSISTANT I
DISABILITY SERVICES

Reports to: Disability Services Coordinator
- POSITION SUMMARY: The duties of the Administrative Assistant (I) require discretion and maturity, the maintenance of confidential records, observance of deadlines, scheduling, the ability to exercise independent judgment, the practice of good teamwork, and the maintenance of good communication with clientele served by the Disability Services Office.
- ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Disability Services Administrative Assistant position responsibilities include, but are not limited to, the following:
A. Performing receptionist duties for the Disability Services Office, such as greeting students, faculty, and other visitors, answering phones, and scheduling and verifying appointments.
B. Assisting with all facets of office paperwork including, but not limited to, form development, completion, or revision.
C. Maintaining and updating student files.
D. Developing, copying and collating office related promotional materials.
E. Scheduling tests and meetings.
F. Scanning, uploading, and managing testing materials and maintaining records of these activities.
G. Maintaining accurate and detailed records regarding student enrollment, accommodations, and services rendered.
H. Monitoring and assisting with note taking services.
I. Acquiring and converting alternate format text.
J. Understanding a variety of assistive software programs, and training students how to use them.
K. Updating and maintain the DSO website.
L. Proctoring student exams if needed.
M. Maintaining inventory of office supplies, and miscellaneous forms for the office.
N. Attending and participating in departmental staff meetings and other administrative meetings as appropriate. Utilizing the Colleague Administrative Computer System to access student records, schedules, and class rosters as needed.
O. Participating in college committees and college activities to enhance personal and professional growth.
P. Training and monitoring student workers.
Q. Performing other duties as assigned by the Disability Services Coordinator and Dean.
IV. QUALIFICATIONS:
A. Education: Candidates for the position must hold at least a high school diploma, with hiring preference given to candidates who have completed an educational program (degree or certificate) in secretarial science, office technology, or word processing.
- Excellent oral and written communication skills. Ability to work with students, staff, faculty, and the public.
- Strong organizational skills, attention to detail, and ability to problem-solve, work independently, and function professionally under pressure.
D. Experience: Must have at least two years of experience in a general office environment, preferably in higher education. Must have an intermediate level of proficiency in word processing, spreadsheet and database management in a Windows environment and be knowledgeable about Internet navigation.
E. Must provide excellent customer service and work effectively in a collaborative team environment.
