Annual Meeting

March 27, 2018

Meeting was called to order by President Kathy Rayman at 2:10 p.m. after it was established that a quorum was present. Also in attendance were Rick Thoman, Vice President, Harold (Sonny) Lorentzson, Treasurer and Sharon McGarry, Secretary. 54 units were signed in with 20 proxies represented. Tellers were: Helena Markgraff from building A, Dave Myers from building B, Dee Guara from building C, Doug Bartels from building D, and Ernie Thompson from building E.

Proof of notices of meeting was presented by the secretary.

Minutes, as included in the packet from: Annual Meeting March 3, 2017; Board meetings from February 14 and February 22, 2018 were approved as written. Motion: Sharon McGarry, Second, Rick Thoman.

All officer reports were included in the owners’ packets. Questions were raised regarding how money in reserves is established. The treasurer informed us that the percentage of income going into reserves each year has remained steady over the years and attempts to strike a balance between keeping our maintenance fees low and keeping enough money on hand to handle our large expenses. It has not been a plan to keep money on hand to cover disasters.

There were no questions regarding the written officer reports. Updates and questions about the hurricane restoration was tabled until after the business meeting.

Committee Reports:

Marty Whittaker presented the Social Committee Report and thanked her committee: Helene Markgraff, (A building) Carolyn Myers and Deanne Hapka (B building) Christa Rhou and Peggy Paulson (C Building), Myrna Lyons and Ruth Becker (D building) and Sharon Winne (E building.) Treasurer, Christa Rhou presented the treasurer’s report. With a successful garage sale and fundraising at our events, the committee was able to purchase new Plantation Shutters for the windows and still end the year with nearly the same balance as the beginning. Parties were all well attended and enjoyed and our Thursday night socials have grown tremendously and have really helped us grow closer as a community.

Although not a formal committee, a brief mention was made about the sports groups. A sports banquet” was held for the pickleball and tennis players and the golfers. It has been a great boon to community building as well.

Herb Nelson, our website “guru” reported on the usage of the website. (BonitaPinesClub.com) There was a record 4,000+ hits last year with over 16,000 pages viewed. It is a good place to go for needed documents as well a place for prospective owners and renters. He will no longer be posting party photos as nearly every unit now is on our email listing and he is sending them out that way now. A huge thanks to Herb for all his work on that and on communicating with owners on our news via email. It’s been a busy year.

Unfinished business:

Questions were raised on the stairwell reconstruction. After pursuing new bids last summer but before any construction began, Irma came calling. Everything has been on hold, but new bids will again be pursued as soon as the roofs are done. Dave Butler asked if members could assist with painting to help keep costs down. Rick Thomen thought that would be good after the work is finished as it might save Daniel some time. Concrete staining will be looked into for the risers with painting only on the walls.

New Business:

The motions from the board were read as follows:

Motion #1 – Should the proposed budget for the 01/01/2018 – 12/31/2018 be approved?

Motion #2 – Should the reserves required by the FL statutes be waived for 2018 and instead be set as shown on the supporting materials?

Motion #3 – Should the members waive the statutory year-end financial reporting requirement for a review and permit the Board to present the year-end financial statements in a report of cash receipts and expenditures format for the fiscal year ending 12/31/2018?

Ballots were collected and given to the tellers. Results were as follows:

#1 67 yes, 4 no

#261 yes, 9 no

#367 yes, 4 no

All motions carried.

President Rayman announced that officers Lorentzson and McGarry will be retiring from the board. Linda Lamar has graciously agreed to serve as secretary and a treasurer is still being sought. If you or anyone you care to nominate would have an interest, Sonny will be happy to help you learn what you need to know.
