Bird Elementary School PTO 2015-2016

Dear Committee Chair, Thank you for volunteering to chair a committee and serve in a leadership role! Please don’t hesitate to contact us at any point – we are anxious to help you! As you anticipate your role over the next academic year, please consider the following recommendations and requests:

Planning & Organization: The PTO file cabinet is located in the main office. Inside there is a hanging file for each PTO leader and committee. Each hanging file has a green folder for the committee leader containing information from last year’s event. Note that if you are continuing in your role as leader you may not have returned the folder. Please update it with new files as you receive them and/or as the year unfold.

If you are new in the role, please seek out feedback and advice from the previous chairperson. We have asked each chairperson to create an end of year checklist of tips and key information that was important during their tenure. If available, it was placed in the committee folders. In turn, if you are returning to the position, take this opportunity to organize your records to make sure there is a clear trail for future leaders in this same position. Please return all green committee folders to the PTO file cabinet once your event is finished.

Budget Planning (including Reimbursement & Deposit Procedures)

As you can imagine, this is a critical component of your event. Please take it seriously. You must closely adhere to the budget for your event. In addition to the forms in your green folder, there are also additional check request forms and reimbursement forms in the PTO file cabinet. If you need a check or need to be reimbursed please fill out one of the forms and place it in the Treasurer’s hanging folder. Event Publicity: All fliers to be distributed must first be approved by Mrs. Williams via Jennie Quinn. Please allow one week for the approval, copy and distribution process. For approval, email a pdf of the flyer to . Please also include distribution instructions (ideal date of distribution and “youngest/only” or all students”). Once approved, your flyer will be forward to the school office for copy and distribution.

Friday is the school’s preferred distribution day. Please email the proof of your flyer to Jennie Quinnat least one week before your desired distribution date.

If you would like to put a reminder or thank you in the Principal’s electronic newsletter, email the information to Mrs. Williams at five school days prior to the 1st of each month.

If you would like to use the display case in the main lobby for your event, please speak with Mrs. Williams.
