Matters For Discussion:

  1. Treasurer’s Report: Balance $92 849.05 (Full statement on the website)
  2. CARRIED OVER-Bar Renovation-Warwickis now talking to ‘Original Kitchens’ and is meeting with them next week. Lyn suggested having the tiles a different colour than he kitchen so that dirt marks do not show as much.
  3. CARRIED OVER-Sue to report on conversation with Just Funkin’ regarding coffee supplier-they have freshly ground coffee delivered to them and said that we could pick up coffee from them and use it. Possibly use plungers before the show and normal coffee at interval, but Lyn said that she knew some members who would not work if plungers were used. Some comments from Wonderettes that coffee was good. Warwick suggested that we try the Just Funkin coffee and Duty Managers ask patrons about it. Decision was to try a bag for Poppins opening weekend and proceed from there.
  4. CARRIED OVER-Publicity, Sue to report back on conversation with Paul-Paul has talked to Sheena Smith about helping and has spoken to others. Sue suggested that we ask a person from the cast to do publicity each time. Warwick suggested that maybe submissions from directors have to nominate a Poster & program person included. Warwick to speak to James. Programs for Wonderettes were such that the programs only cost the club $50.
  5. CARRIED OVER-Mike & Geoff to report on “no alcohol” note on tickets and ‘pop-up’ on booking page when purchasing tickets-this pop up was included for tickets for Mary Poppins but we won’t know that it works for sure until internet sales begin on 23rd October.
  6. CARRIED OVER-Sue to report on discussions with Paul for a Program counter in foyer-program Sellers who moved around to patrons sold many more programs than sellers who sat there-Lyn suggested that program sellers have a ‘bum bag’ for cash-Mike to purchase 2.
  7. Dates For AFGM-currently 6-15 April - school hols Sat 14th Apr-Mon 30 Apr, Easter-30, 31 Mar, 1 Apr-Mike concerned that Committee had not actually discussed these dates-Committee approved.
  8. Awards night organisation-Date? Food? Band? Decorations? -Sue will look into food, Mike to take care of band, Mike to ask Lynn to look at decorations.
  9. Lease to be signed-President Warwick Binney and Vice-President Lyn Gale signed the lease which expires in 2019
  10. FOH tray line at end of show -Warwick was concerned with the line-up of ushers at the door after a show, some hiding the trays, some openly displaying them, and the image it puts across. In future, Duty Manager & Malcolm to ensure that ushers wait in kitchen until the auditorium is clear enough for them to do the cleaning up.
  11. Ticket & Subscribers prices – Warwick concerned that even though we are slightly in the black so far this year, that we need to stay in a viable position, and so that it was time to review ticket prices. Mike mentioned that so many of our patrons pay the concession price anyway. The point was raised that do we need a concession price? After some discussion, it was decided that from Little Mermaid prices would be as follows, MUSICAL: Adult $30, Child (16 & Under) $22; PLAY: Adult $25; Child (16 & Under) $15; YOUTH PRODUCTION: same as a play; and SUBSCRIBERS $95
  12. Southern Cross, FunSing & Family History dates for 2018-SX date to be decided after 2018/2019 season decided, Family History dates OK but on the days of a show to run from 9.30-2.30 (out by 3) and FunSing ok, but subject to confirmation of 2018/2019 season.

General Business

  • Next Meeting-Monthly 17 Oct 7pm, Submissions discussion date? (after submissions are presented)-Management 7th November, December meeting will be on the 5th to avoid a clash with Gold Coast Theatre Awards on the 12th
  • Committee decided that the increased Banner costs were worth it due to the publicity it generates.
  • Mike presented Working With Children concerns-some members go through most of the show without a number because of tardiness. Penalties are severe for not complying with Kids Guardian regulations. There are still 2 cast members of Poppins who still don’t have it. Committee decide that these 2 members be asked to present the number within 2 weeks or risk exclusion from the show. Mike presented an idea that at auditions, the audition form to include a note that, if cast, they needed to present their WWC number in the first 2 weeks of rehearsals, or risk losing their position on the cast.
