Background information

BACKGROUND

Since becoming Artistic Director in 2012, Indhu Rubasingham has strengthened the Tricycle’s reputation for world-class theatre. Indhu brings outstanding writers and artists from different cultural backgrounds to present an artistic programme of consistently high quality that reflects the exceptional diversity of the Tricycle’s local community, in line with our mission: The Tricycle views the world through a variety of lenses, bringing unheard voices into the mainstream. It presents high-quality and innovative work, which provokes debate and emotionally engages. Located in Brent, the most diverse borough in London, the Tricycle is a local venue with an international vision.

Under Indhu’s leadership, the Tricycle has increased its audience by 20% in her first year; played to 95% capacity for most of its solo produced shows like Red Velvet, Handbagged and Once a Catholic; transferred productions to New York (Red Velvet at St Ann’s Warehouse) and the West End (Handbagged at the Vaudeville); won an Olivier Award for Outstanding Achievement, two Critics’ Circle Theatre Awards and a London Evening Standard Theatre Award; commissioned its first new play by an established writer for the Tricycle Young Company (The Kilburn Passion by Suhayla El-Bushra).

The Tricycle is located on the Kilburn High Road. It currently comprises a 232-seat theatre, a 300-seat cinema and 3 further workshop and rehearsal spaces. We produce and present an ambitious range of work that explores new territories, that nurtures emerging creative talent, that speaks to a young diverse audience, and that enhances our intercultural understanding.

We are embarking on an exciting new journey for the Tricycle. In January 2013 Arts Council England (ACE) pledged £3.15million towards the transformation of the theatre and its facilities, which will enable all our communities – local, artistic and international – to engage more deeply with the building and its work. Our ambition is for the Tricycle to become a cultural beacon, with a flexible accessible theatre auditorium and with an increased presence on the Kilburn High Road.

FINANCE OFFICER - Job Description

Job Title: Finance Officer

Main purpose of the job: To support the Finance Manager and the Executive Producer in the smooth running of the Finance Department, with specific and shared responsibilities in the administration of the accounting systems used, including Sage Line 50, and Sage 50 Payroll and in the production of management accounts.

Responsible to: Finance Manager

The Finance Officer is a full time position line managed by the Finance Manager. The Finance Officer will work alongside the Finance Manager and Executive Producer, and be responsible for the efficient and effective management of all financial matters within the Tricycle, which currently has an annual revenue turnover of around £3 million. The Finance Officer, Finance Manager, and the Executive Producer are all full time members of staff.

In addition to Tricycle Theatre Company Ltd, there are two other companies: Tricycle Screen Ltd, & Tricycle London Productions. The Finance Department’s work may relate to any of these three companies.

The accounting systems run on Sage Line 50, version 13. Payroll is run using Sage 50 Payroll. It is therefore essential that the Finance Officer has a good understanding and experience of working with Sage Line 50 Accounts, Sage 50 Payroll, and Excel.

The role

The role of Finance Officer requires a person who will be an active member of the Tricycle’s finance team. The Finance Officer is expected to support the Executive Producer and Finance Manager in all areas of the department, including the smooth running of the financial systems of the Tricycle. They will have specific and shared responsibilities, working with the Finance Manager and the Executive Producer in the financial administration of all three companies, including purchase and sales ledgers, payroll administration, and petty cash reconciliations. Alongside these responsibilities, the Finance Officer will work with the Finance Manager in the general operations of the department.

The post-holder is required to have a good understanding of Sage Line 50 Accounts and Sage 50 Payroll, and excellent communication and organisational skills. Although not necessary, an interest in the Arts would be helpful.

Key Responsibilities:

Theatre/Cinema:

·  Payroll (weekly/monthly wages) Sage Line 50

·  PAYE and NIC payments

o  Agreeing payroll control account

·  Weekly wages reconciliation and summaries, recording holiday, P32, pensions, overtime calculations.

·  Maintaining accurate records of contracts for both payroll and freelance staff.

·  Purchase Ledger – Sage Line 50 Accounts vs. 13

o  Including regular BACs payments and writing cheques

o  Agreeing Aged Creditors control account

·  Bank payments and bank receipts – Sage Line 50 Accounts vs. 13

·  Petty Cash distribution and Reconciliation.

Bar (Screen):

·  Purchase Ledger – Sage Line 50 Accounts vs.13.

·  Preparation for bar stock take reports

·  Recording bar till receipts

·  Running of ledger reports out of Sage

Additional/Shared Tasks:

o  Including issuing invoices.

Administration & General

·  To maintain departmental systems, filing and archives as required

·  To use PC computer, Word, Excel, and Sage Line 50/ Sage 50 Payroll.

·  To attend weekly staff meetings wherever possible.

·  To attend and participate in such training as required by the Executive Producer.

·  To be aware of the fire evacuation and health & safety requirements and report any problems to the Duty Manager

·  To give adequate notice and make suitable arrangements to cover planned absences

·  To be aware at all times of the Company’s charitable status and operate accordingly

Person Specification

The post holder will be able to demonstrate:

Essential skills and experience

·  At least two years experience of working in accounts

·  Experience in Sage Line 50 Accounts and Sage Payroll

·  Excellent oral and written communication, time-management and organisational skills

·  Ability to work collaboratively and to connect and work in partnership with others internally and externally

·  Some experience of journal and adjustment entries

·  Ability to manage multiple priorities and deadlines and a track record of delivery

·  Ability to use Microsoft Word and Excel. Computer literate.

·  A good understanding of VAT.

·  Excellent accuracy and administrative skills.

·  Ability to work collaboratively as part of a team.

Desirable skills and experience

·  A qualification in Sage Line 50 and/or Sage 50 Payroll

·  Experience of working within an arts organisation

·  An interest in theatre and the arts

·  Experience of working in the charity sector

·  Accountancy qualifications

Outline of pay and conditions

Title of post: Finance Officer

Salary: £21,000-£24,000 depending on experience

Contract: Full-time subject to review by the Executive Producer with a three month notice period. Probationary period will be three months during which the notice period will be four weeks on either side.

Hours: Based on 45 hours a week, five days per week

Holiday entitlement: Four weeks per year plus bank holidays plus five single days after two years’ continuous employment

Sick Pay: Four weeks on full pay and a further four weeks on

half pay after three months’ continuous employment

Pension: The Tricycle operates under the auto-enrolment pension scheme held with The People's Pension. All staff are automatically enrolled into the pension scheme once they earn over £10,000 per annum, are aged 22 or over, and are under state pension age. Staff who don't fulfill this criteria still have the option to opt in. Employees may opt-out of the scheme at any point. Contributions are paid at the current legal minimum. If you choose to increase this contribution, the Tricycle will currently make a pension contribution of up to 3% of your basic salary into your plan after you have successfully completed your probationary period, and where this is matched by you.
