ATTENTION 4th GRADE PARENTS

The Hilldale PTC is in the process of setting up committees for the 2016-17 schoolyear. There are a number of committees that are specific to the 5th grade class. These 5th grade committees will help raise money for and coordinate graduation activities for the 5th grade class. In order for the year run smoothly, a 5th Grade Coordinator is necessary.

The 5th Grade Coordinator is responsible to fill each chair position and provide the necessary volunteers to carry out the 5th grade committee responsibilities. In addition, the Coordinator acts as a liaison to the HPTC President and coordinates efforts of the 5thGrade. The coordinator is essential in ensuring that sufficient funds are generated to support the End of the Year Trip, End of the Year Party, and to provide a Yearbook, Video Montage and traditional Graduation Gifts to each student.

The followingcommittees are under the responsibility of the 5th Grade Coordinator. Their tasks are:

Yearbook - Compile pictures for the 5th grade yearbook. Make all possible efforts to collect quality photographs from parents for possible inclusion into the yearbook. Ensure a balanced representation of all the 5th grade students.Collect baby picture and biography information from each 5th grader. Work with the yearbook company to generate the yearbook. Estimate the cost of the yearbook by Jan 1st. (Work is required from September to June.)

Video Montage- Compile pictures of 5th graders as they were in K-5 and ensure a balanced representation of all the fifth graders. Produce an upbeat, entertaining video. (Work is required from September to June.)

5th Grade Party PLANNERS–Plan a Halloween, Holiday and a unique and exciting end of the year party which includes a BBQ and planned activities. Determine the cost of the end of the yearparty by Jan 1st. Set-up and run the Halloween and Holiday parties as well as the 5th grade end of the year party during the last week of school. (Work is required in the fall, finalized in the spring and carried out during the last week of school.)

Fundraising- By September, estimate the amount of money needed for 5th grade activities by using the prioryear’s budget information. Determine the need for fundraising (in addition to 5th grade hot lunch proceeds). In January, determine the amount of money needed to cover the cost of the Yearbook, Video Montage, End of the Year Party, 5thGrade Gifts, and Graduation. Design and carry out additional fundraising in the spring (if needed) to support the expenses.

Hot Lunch- Chairs are needed to run each of the following 5th Grade Hot Lunches. In addition, 5th grade parents are needed throughout the year to serve the lunches.

5th Grade Activity Night- Coordinate with all Montville Elementary Schools for two evening events. Send out flyers for the events and collect registration forms. Take part in chaperoning events. One event is usually scheduled in the fall and the other is usually scheduled for the spring.

LAZAR LIAISON-This position would ideally have a child in Lazar and a child who will be in the 5th grade during the 2016-2017 school year. This position would help parents of 5th graders with their transition from Hilldale School to Lazar. He / She would distribute information to parents of Hilldale 5th graders regarding parent access, summer reading, and scheduling. This person should contact the Lazar PTC president early in school year, but most of the work will be done starting in May after the Lazar parent orientation.

Graduation- Plan out the events for the graduation ceremony held on the last day of school. Determine the student Graduation Gifts. By January determine the expense of the gifts and associated cost for the graduation.Committee members are involved with the set-up and decorations on graduation day and then enjoy the ceremony.

End of the Year Trip- In October, consider different venues for the June End of the Year Trip. Finalize a choice and submit a contract for review to the principal. Follow-up with obtaining Board of Education Approval to ensure paperwork is in order. Determine price of trip by January 1st. Participate in the End of the Year Trip.
