MEETING MINUTES JUNE 7th 2017

Call to order

A meeting of the Canyon Lake Triathlon and Fitness Club was held at the CLPOA Boardroom on June 7, 2017. The meeting was called to order at 7:08 p.m.

Attendees present: Wendy Gallagher, Lee Schrank, Mike La Hood, George Hicks, Laura Hicks, Karin Cassidy, Jim Yanoschik, Lainie Cooney.

Business

JUNE 17TH OLYMPIC TRI: Mike indicated that volunteers are covered for this weekend. It was recommended that there be swim support at back of the pack as well as 1 or 2 additional volunteers, so Paul will support in a kayak, one volunteer will use the Club paddleboard and Karin has a board to lend. In addition, swim support will carry life vests that can be used if necessary.

FIESTA DAYS RECAP: The booth was positive, with 3-4 sign ups and next year we should consider food sales and/or a raffle as a fundraiser.

CLUB APPAREL: We decided to offer men’s and ladies tanks and tech T-shirts in a turquoise color, and to limit color offerings for build our brand. Karin will check on s casual/soft T in the same color. For fall, we may consider different core colors or adding long sleeves/sweatshirts.

In lieu of volunteer shirts, Karin will provide information on EVENT STAFF mesh vests that can be worn by volunteers then collected for the next event.

FACEBOOK: To avoid confusion and redundancy, a motion was made to close down the individual page and use the Group page only. Motion carried.

PASSWORDS: A second motion was made for club passwords for the Facebook page, the Yahoo account, and the website and timing system to be kept by the President, Vice President and Secretary. (Website password would also be kept by webmaster, and timing system password would also be kept by race director.) Motion carried.

JULY 19TH BBQ: Wendy will complete the Event request form required by the POA. It was recommended that a local team of volunteers work with Tim to help plan and facilitate the event. Mike, Jim and Paul can help. Karin will be out of town, but will get the BBQ’s to Eric for the event. The club is providing the burgers, food should be coordinated. Also, there should be lights as it was a bit dark cleaning up after the BBQ.

TACO TUESDAY SWIM MEETUP: About 6-8 people met to swim before Taco Tuesday, so the Tuesday swim meetups will continue. Laura suggested a flag to identify the meeting spot. Karin will look into pricing.

MAY RACE RECAP: 16 racers participated in the May sprint, which was outstanding considering that many new people participated. Lainie and Sherri did a great job marking the course the night before (takes 1.5 -2 hours) and Lainie recommended very large and bold chalk markings at the major turns. The course was new and did not loop. The timing system was problematic and was not used. Instead, a manual system was utilized. For the Olympic event, It was recommended that a manual system be utilized as backup even if the timing system is utilized to ensure that participants get their results.
