Arterial Network seeks Administration Intern

Are you passionate about the development of the arts and culture sector? Are you hardworking, driven and results oriented? Arterial Network is looking for an Administration Intern, in this role you will have the opportunity to work across various operational areas, giving you hands on experience in what it takes to run an arts and culture organisation.

Based in Cape Town, South Africa, Arterial Network is a dynamic network of individuals, organisations, donors, companies and institutions engaged in the African creative and cultural sector. The organisation seeks to formulate African-centred strategies and solutions to accelerate the growth and prominence of the creative sector in Africa, enabling dialogue, information exchange and the strengthening of partnerships between creative communities, government, business, NGO’s and academia.

As the Administration Intern,you will support the Office Administrator/Bookkeeper and General Manager in ensuring the smooth operations of the organisation, including but not limited to gathering and compiling data for reports,procurement, You should be available to work in the organisation for a minimum of 4 months, 40 hours a week. This internship is unpaid.

Minimum Criteria:

  • A diploma or a senior enrolled in a degree programme
  • Proficient in MS Word and MS Excel

Job Description

Responsibility: To assist in the effective administration and operations of the organization providing assistance to the Office Administrator/Bookkeeper, General Manager and the Secretary General

Accountable to:General Manager.

  1. Undertake specific administrative duties as assigned by the Office Administrator/Bookkeeper, General Manager and the Secretary General
  1. Financial Administration
  1. Gather, photocopy and file paperwork for financial reports
  2. Identify service providers, source quotes for procurement of services, draft contracts and update the service provider database
  3. Maintain and update inventories of all Arterial Network assets (publications, merchandise and other materials) providing regular inventory counts as requested
  4. Manage systems for the accessing of goods and assets stored in Arterial Network storage facilities
  1. Special Projects
  2. Assist in the planning and implementation of Special Projects and meetings, including but not limited to Logistics related to travel and accommodation (flight, visa, bookings etc) and Logistics related to venue, transport, materials, catering, administration etc.
  3. Assist in Administrative planning and implementation for board meetings, Annual General Meeting and African Creative Economy Conference including creating board packs, travel information packs and itineraryetc
  4. Develop project budget under the supervision of the Office Administrator/Bookkeeper General Manager
  5. Develop project plans under the supervision of the General Manager
  1. General Operations
  1. Provide assistance in ensuring the maintenance of all equipment and liaise with service providers for the same (eg: internet, telephones, lighting, and other infrastructure)
  2. Oversee the reception desk and functions and ensure guests are properly received
  3. Ensure someone is always staffing the switchboard and reception area during office hours
  4. Manage catering for meetings as necessary
