Job Title: Executive Assistant to Chief Executive (CEO)

Salary:£25,148 - £35,505depending on experience and qualifications

Department:Chair and CEO's Office

Location:Crown Chambers, Andover.

Reports to: CEO

Responsible for: Administrator

Hours: 37.5 hours per week

Purpose of the job:

To manage effectively and efficiently the day-to-day operation of the Macular Society’s Chief Executive Officer (CEO) and provide administration support to the CEO and Chair as required.

Main Tasks

1. Secretarial/Administration Support

1.1 Manage the day to day operation of the CEO’s office, ensuring the effective provision of administrative, secretarial and personal support to the Chief Executive, Chair and when required, other Trustees.

1.2 In agreement with the Chief Executive, take the lead role in representing the CEO at a corporate level (e.g. customer care and complaints procedures).

1.3 To develop and manage systems and procedures that are appropriate and effective for the co-ordination of activities in the Chief Executive's office, taking into account that systems must work across different departments. Attention should be given to the establishment of effective internal communication processes across the entire organisation, with specific reference to Senior Management Team.

1.4 To research and collate information and take responsibility for preparing reports and briefing papers for presentation at organisational and Trustee level, as directed by the Chief Executive.

1.5 To contribute and lead on projects at various levels as directed by the Chief Executive.

1.6 Presenting information and recommendations clearly so that decisions can be made and issues progressed

2. Servicing Meetings

2.1 To plan and organise international and national meetings or events including travel and venue arrangements.

2.2 To ensure the effective management and co-ordination of information and submissions in relation to high-profile events.

2.3 To draft the agenda, plan and organise Trustee meetings as requested by the Chief Executive and to monitor and maintain commitments with respect to the Society’s Governance process.

3. Budget Management

3.1 To provide comprehensive support for the budget monitoring of the Chief Executive’s budget, providing exception reports and suggesting courses of action for the CEO when necessary.

3.2 Management of budgets to include the administration of payments of invoices and reclaiming expenses from relevant bodies.

4. People Management

4.1 To manage and support a member of staff if relevant.

4.2 To provide support to the Chief Executive in relation to personnel matters as required.

4.3 To develop contacts and build relationships with key national and international figures in the national and international visual impairment sector – including relevant medical and research communities etc.

5. Other

5.1 Any other duties commensurate to the post.

Person Specification

The ideal candidate will have:

  • Executive Assistant experience supporting someone at senior level - in an ambitious and fast moving organisation.
  • Excellent attention to detail with highly developed written and verbal communication skills.
  • Ability to build productive relationships with people at all levels including high profile individuals.
  • Flexibility - there may be some travel involved in supporting the CEO for business trips.
  • Excellent knowledge of IT applications and comfortable with using a range of communication technologies.
  • The ability to quickly grasp complex business and policy issues in the context of visual impairment, medicine, research and support.
  • Experience of working in the voluntary sector is desirable but not essential
