POST:Hub Co-ordinator

RESPONSIBLE TO:Chief Executive Officer

RESPONSIBLE FOR:Providing administration, support and point of contact for all Hub activities

LOCATION:Inverness

SALARY:£19,750 - £23,000 pro rata (3 days per week)

BACKGROUND

The Highland Housing Hub (Hub) has a membership of Albyn Housing Society, Cairn Housing Association, Caledonia Housing Association, Lochalsh & Skye Housing Association, Lochaber Housing Association, Highland Housing Alliance, Highland Small Communities Housing Trust, The Scottish Government and The Highland Council. The aims of the Hub are to deliver the Highland 5 year new build affordable housing programme, maximise investment levels, work collaboratively to ensure housing delivery and cement partnership working and streamline communication between different agencies.

The Hub team meet every Tuesday. This is an opportunity to share intelligence, take forward projects, identify development opportunities, work with developers and seek to deliver homes in the Highlands including new forms of construction and procurement.

JOB PURPOSE

The purpose of the Hub Co-ordinator (HCO) is to provide all administration and support services to both the Hub and the Hub members, to ensure that the Hub meeting information is collated and distributed and that appropriate follow up actions are carried out

KEY ACTIVITIES

Setting up and maintaining good office systems to record all activities of the Hub, including efficient filing of all incoming and outgoing mail and documents

Support for the Hub, including maintaining the Hub diary, producing letters, spreadsheets and reports, answering incoming phone calls and enquiries and dealing with all Hub administration

Arranging and organising meetings and events both for Hub meetings and off shoot meetings agreed at the Hub. Recording action points from each Hub meeting

Ensuring that all important documents are retained and filed in accordance with legislation and procedure

Recording information on specific developments and producing information when required

Utilising the HHA’s Information Technology systems and Conject to maximise the efficient running of the Hub

Play a part in a small team with a common goal to assist with the delivery of affordable and other housing in the Highlands

SKILLS REQUIRED

Excellent communication skills and capable of competently engaging with stakeholders

An understanding of the affordable housing and private development activities within the Highlands

A knowledge of the development process including the Strategic Housing Investment Plan and planning processes

An understanding of the activities carried out by partners and the relationships which exist between partners of the Hub

The post holder should be able to deal with partners and members of the public in an efficient and friendly manner

They should be highly organised and be capable of implementing and maintaining a comprehensive filing system

Excellent understanding and ability to use Excel, Word and Dropbox

Be able to act on initiative and follow up on action points raised by the Hub
