Application Administration Manager– full time – temporary position (one year)

Position to be filled: Tuesday 12 April 2016 or closest possible date

Main duties:

The LycéeFrançais Charles de Gaulle wishes to recruit an enthusiastic Application Administration Manager who will leadthe organisation of applications tothe UK, USA and other international universities.The successful candidate will be able to communicate effectively in English and Frenchand have the ability to generate purposeful data on outcomes andhighlight and develop areas of improvement.

  1. Be responsible for monitoring and coordinating the administration of the applications to the UK and the USA (approximately 300 applications per year).
  2. Work closely with the Deputy Heads and the Career team (2 advisers and 1 administrator)on the applications strategy and operation.
  3. Provide supervision and support to the application process and team and in particular the Administrative Assistant.
  4. Oversee the training and allocation of HE reference writers and the quality and accuracy of their output.
  5. Communicate effectively with students, parents,teachers and management to inform them of the work of the Careers department and to bring to their attention informationwhich may be of interest to them via the website and other methods.
  6. Prepare or oversee the preparation of the careers education calendar, relevant guidelines and instructions for pupils and staff.
  7. Assist in the organisation of the Career and Higher Education Forum and other career events.
  8. Oversee the administering of Careers Guidance Tests for students, distribution of the results and support for tutors in subsequent follow up at work.
  9. Establish strong liaison with relevant external organisations including universities, colleges and schools.
  10. Undertake other tasks relevant to the work of the department, as these may arise.
  11. Ensure that all applications areprocessed accurately and to the relevant internal or external deadlines.
  12. Ensure that all data used in the process is collated efficiently and accurately.
  13. Produce relevant statistics to help drive improvementsin particularthose relating to applications, offers, destinations andpredicted grades.
  14. Attend relevant courses and conferences to keep abreast of the ever-changing situationas approved by the Head.
  15. Hold regular progress meetings at which minutes are taken and feedback to management.

Profile:

- Have knowledge and experience of organising and advising on the UCAS & US application procedures.

- Manage staff effectively through excellent interpersonal skills.
- Plan coherentlyandprioritise workload and work to deadlines.
- Communicate effectively in writing and orally in English and French.

- Have excellent IT skills (office, Excel) to generate reports and statistical analysis to inform careers advice
- Be flexible, calm and able to work well under pressure.

- Some understanding of French and US higher education desirable but no essential.

Annual working hours: 1600 h (40h over 40 weeks)

Annual gross salary: from £28,000 based on experience.
