Job Title:Administrative Assistant

SUMMARY

The Administrative Assistant provides assistance with a variety of general office duties with emphasis on the planning and zoning, and development permitting functions (e.g. building, demolition, and land disturbance).

ESSENTIAL DUTIES AND RESPONSIBILITIES

Typical tasks include, but are not limited to:

  • Provide administrative support to Public Works, Animal Control & Solid Waste staff.
  • Interface with customers (i.e., the public) to answer questions, direct phone calls, schedule appointments/inspections, take complaints and assist with applications (e.g., building permits, Board of Zoning Appeals, Planning Commission, etc.)
  • Prepare agenda and packets for Board of Zoning Appeals and Planning Commission prior to each meeting.
  • Preparation and submittal of information to the local media in order to meet public notification requirements for monthly planning commission and board of zoning and appeals.
  • Participate in staff review of monthly submittals for Planning Commission and Board of Zoning Appeals.
  • Maintains database and tracking of all active development bonds including original copies of bond documentation. Responsible for the notification of bond holders and financial institutions regarding annual expiration and renewal requirements for all active bonds.
  • Submit Requisitions for payment/ pay invoices
  • Create and maintain bank deposits/records
  • Schedule and Record Inspections
  • General typing/filing
  • Preparing/completing forms
  • Answering telephones and general reception of customers

  1. Education and/or Experience
  • High school diploma or general education degree (GED)
  • Experience working with Windows, Word, Excel and Access
  • Familiarity with basic office equipment
  • Typing skill (minimum of 40 words per minute)

  • Excellent communication skills, both written and verbal
