Job Description – Admin Assistant

Responsible to the Office Manager

Introduction

A job description is not designed to limit or completely define a single role but instead demonstrate and clarify for staff the areas of responsibility within its compass.

It is expected that all members of the school will find it possible to display a loyalty and attitude to the school in keeping with the ethos of the school, contributing to it by involvement and example.

The Admin Assistant is a key member of the school family who contributes widely to the welcoming, smooth and efficient running of the school.

Job Purpose

To assist and promote the school ethos and the smooth and efficient running of the school’s administration.

Principle Responsibilities

Environment

  • Promote positive relationships within our school family; Governors, parents, pupils and other community groups.
  • Receive visitors and ensure that they receive appropriate hospitality, security checks, sign in and are given ID.
  • Ensure that the reception areas, meeting spaces, first aid room and archive are tidy, safe, welcoming and that they are laid out effectively for purpose, including managing and repatriating lost property.

Pupils

  • Checking pupils are in attendance and confirming any pupil absence.
  • Assist with pupil welfare, acting as a First Aider and assisting in the administration of school trips and events
  • With guidance, produce and maintain both manual and computerised records.

Administration

  • Provide routine clerical / administrative support, including photocopying, laminating, typing letters and documents, emailing, taking telephone calls and distributing post.
  • Assist with the orderly and secure storage of supplies to ensure a safe working environment.
  • File and retrieve documentation and other resources for the school to support efficient record management and compliance with data protection requirements
  • To take receipt of deliveries.
  • To take an active role within the Administration Team.

Finance:

The following duties should all be undertaken in accordance with Financial Regulations.

  • Operate uniform and other sales within agreed policies and procedures to meet the school’s requirements.
  • Collecting and recording of money such as school trip payments.

General

  • Establish good and productive working relationships with pupils, acting as a role model and setting high expectations.
  • Contribute to the overall ethos/aims of the School.
  • Establish constructive relationships and communicate with other agencies/professionals.
  • Participate in training and other learning activities and performance development as required.
