Minutes

Minutes of the Consultative Meeting with facilitators, Nodal Officers and Members of the Committee held at the Assembly Hall of Engineering College, on Wednesday, 5thJune 2013 at 11:00 AM.

Following were present:

1.Pro Vice Chancellor (In the Chair)

2.All Facilitators of the Departments of Studies nominated by respective Chairmen

3.All Nodal Officers nominated by Deans of the Faculties

The meeting started with a welcome note by Dr. M. Rizwan Khan, Convener of the Committee for Assessment and Accreditation (A & A). At the very outset, he briefed the house about the present status of the preparatory phase of A & A of AMU in which the facilitators and the Nodal Officers have to play cardinal role.

In his presidential note, Brig. S. Ahmad Ali, Pro Vice Chancellor, Aligarh Muslim University, said that the facilitators haveto playa major role in helping out the faculty members of the Department to present their academic profile in an objective manner so that the information can be assimilated and analyzed properly while preparing a comprehensive data of the Departments of Studies in the form of “Evaluative Report of Departments”. He advised all to extend their best possible support in this endeavor of getting the University assessed and accredited by NAAC.

Through a PowerPoint presentation the Convener conveyed the following important points:

  1. The University to be assessed against the following seven criteria as determined by NAAC:

(ii)Teaching-Learning and Evaluation:200

(iii)Research, Consultancy and Extension:250

(iv)Infrastructure and Learning Resources:100

(v)Student Support and Progression:100

(vi)Governance Leadership and Management:100

(vii)Innovations and Best Practices:100

Total:1000 Points

  1. Committeesconstituted for A & A of the University:

  1. Role of the facilitators:

(i)To establish liaison among the teachers of the Department, the Chairman, the Nodal Officers appointed by Dean and the Office of the undersigned.

(ii)To facilitate the Chairmen and teachers in completing the “Proforma for Individual Teachers” and the “Evaluative Report of Departments”.

(iii)To supply, collect and compile the proformas at Department level. Facilitators need to communicate through mails and letter in order to speed up the process of completion and compilation of proforma.

(iv)To collect one hard copy and a soft copy (through mail, etc.) of individual teacher proforma from each teacher.

(v)To send a zip folder (named after the Department) of the proforma of all teachers to the office of the Convener.

(vi)To work proactively and exhaustively for a successful completion of A & A of AMU.

(vii)To advise, suggest and recommend the Convener anything that they feel important for the process of A & A of AMU.

  1. Role of Nodal Officers:

(i)To operate at Faculty level.

(ii)To check and cross check at Faculty level to ensure the deadlines and the successful and effective compilation of the “Evaluative Report of Departments” and later on the “Criteria based Evaluation Report”.

(iii)To communicate regularly with the Facilitators and Teachers through mails/letters.

(iv)To participate proactively till the successful completion of Assessment & Accreditation of AMU.

Following decisions were made in the meeting:

(i)That after summer vacation, the Committee for A&A will start the compilation of “Criteria based Evaluation Report”, which means the Facilitators and Nodal Officers will remain actively engaged till the end of the process of A&A.

(ii)That the facilitators and Nodal Officers have to take extra initiative to collect “Proforma for Individual Teachers” and compile “Evaluative Report of Departments” in time.

(iii)That the first draft of “Evaluative Report of Departments” submitted by each department will be reviewed by a team of experts for further addition, modification and improvement.

(iv)That the facilitators and Nodal Officers need to feel free in communicating and persuading the colleagues for timely completion of proforma and submission of data.

(v)That individual teachers are supposed to submit both hard and soft copies of the proforma to the facilitators ONLY, and not to the Office of the Convener.

(vi)That facilitatorsare free to request colleagues to add/accommodate information, specific to their discipline, relating items given in the proformas. It was observed that the proforma supplied by NAAC does not include various aspects of the Faculty of Medicine, for example. In such case the facilitators need to accommodate their information within the given proforma.

(vii)That the facilitators are free to provide/present the data relating the items in proformas in the form of tables, charts or graphs, etc. The Office of the undersigned expects the presentation of the data to be neat, objective, inclusive and impressive.

(viii)That the Librarian, Maulana Azad Library should be requested to provide facility for accessing such sites as Web of Science, Scopus.

(ix)That important slides (relating detailed list of facilitators and Nodal Officers, scoring criteria, etc.) of the presentation need to be mailed to all facilitators and Nodal Officers.

The session came to end with a vote of thanks from Dr. Khan.
