Call for Proposals
Host Site for 2012 Annual Conference
The ATRS is soliciting proposals to host its annual conference in 2012. The conference is normally held in June or July with expected attendance of 200-250 participants. The site location should have a room capable of accommodating plenary sessions (250 seats) as well as 6-8 breakout rooms, each with 40-70 seats. The conference normally takes place over a two to three day period. As well, there is an opening reception on the night before the conference and technical tours immediately preceding or following the sessions. Finally, organizers usually provide suggestions or arrangements for pre- or post-conference excursions.
As many of the conference participants are on tight budgets, the ATRS seeks to maintain an affordable registration fee. In the past, individual pre-registration rates have been set at US $250 and onsite registration rates at US $300. Fifty dollars of the registration fees are rebated to ATRS headquarters with the remaining fees kept by the organizing committee.
Expectations of the organizing committee include contracting with a conference site, securing hotel/lodging sites (a range of prices is preferred), arranging for sponsors, hosting an opening reception and a conference dinner, arranging for conference breaks, and arranging technical tours.
Proposals should outline potential arrangements for the 2012 conference. Bidders should be prepared to discuss their proposals at the 2010 conference in Porto, July 6-9. The deadline for proposal submissions is May 31, 2010, with submissions sent to Martin Dresner at the University of Maryland (). Please include the following information in the proposals:
· Names and positions of members of organizing committee
· Description of site location
· Potential sponsorships
· Possible hotel/lodging venues with approximate prices
