Minutes for the 2017 Annual Brooktree HOA meeting – September 14th at 7:00pm at the pool.

1. Call to order. 7:00pm. Approximately 25 people in attendance at this time.

2. Approve August meeting minutes. DD motioned, Kristen second, all approved. Melissa to file and Kristen to post to website

3. Welcome members. Take any write-in nominations from the floor. No nominations from the floor

4. Start counting ballots. Rosetta Caven and Deb Spain counted.

5. Theo (Social)-Present-Recap social events through the season. $6500 was spent on social events this year including the lanyards given to all members to use with the new pool keys. 21 welcome baskets have been distributed this year to new members. Thank you to all the volunteers that help with social.

6. Kevin (Pool)-Present- Major leak was repaired this spring. Wood fencing was replaced across the back of the shed. Front gate, key card system and security system were added (@$10k). Desire to add more cameras during the off season. New chairs for the tables have been ordered for $10,000.

7. Amy (Recreation)-Present- New pop machine purchased for $1100. Lost money on pop sales due to free vending at the parties, decreased usage due to non-members using the facility, and the change toss on closing day party for the kids.

8. Kristen (website)-Present- 2017 directory was distributed. Made over $900 profit after expenses from ad sales. Looking into new platform for the website and hoping to get complete set of digital by-laws posted.

9. Mitch (facilities)-not present- Dumpsters need permits from the city. Can keep for 30 days and renew once. No trailers are allowed to be stored in driveways. Diseased or dead trees are being marked by the city for homeowners to remove. Garage sales will be this weekend. Get permit online.

10. DD (Treasurer)-present-No current liens (1 pending). All lots are current except for 1 lot that owes current year. Audit is scheduled after closing 16-17 books September 30. Passed out 17-18 budget for review. Discussion. Rosetta Caven motioned to approve. Keel Batchelor seconded. Passed on vote of members. 17-18 dues will be billed October 1. Bi-annual payment plan will be offered again.

11. Warren (President)- present-Discussion of future capital improvement suggestions from the floor and ideas from current board. A glass recycling company has solicited our HOA for pick-up. Info will be provided in the next Babble. Must have 50 members sign up to do it. Elections results announced. Thank you to all volunteers and to everyone who attended the annual meeting.

14. Open floor- Member comments about desire to have an adult (over 25 at least) as the manager of the pool. Concerns about young guards not having confidence to enforce rules. Concerns about not having any manager on site on most weekends for the past two years.

Member comment about the fire hydrants needing paint. Take up with the city.

Member comment to clean up thick brush in city owned lot along Brooktree Lane (at N Cleveland). Take up with the city
