VOLUNTEER OPPORTUNITY DESCRIPTIONS

I. RECEPTION / GUEST CHECK-IN

  • Volunteers check-in guests, assist them in finding their name cards, and take ticket money from guests who are paying at the door.

II.SILENT AUCTION (2 shifts available)

  • Volunteers will assist guests on bidding and monitor items during the auction; they will also assist AFC staff in the closeout of the silent auction and the “Buy It Now” option. Volunteers must be motivated and energetic, encouraging every guest to bid on items!

III. RAFFLE SELLERS

  • Raffle sellers need to behighly motivated, energetic, and sales-oriented. The raffle sellers areresponsible for getting each guest to purchase at least one raffle ticket. Volunteers MUST be familiar with the raffle prizes (descriptions will be provided prior to the gala).
  • A special prize will be awarded to the person selling the most raffle tickets!

IV.GUEST GREETERS

  • Greet guests as they come into the Hotel or event area. Provide directions to restrooms, check-in, coat check, etc. Greeters will direct other volunteers to the volunteer check-in area.

V.VOLUNTEER CHECK-IN (2 shifts available)

  • Account for all volunteers and familiarize them with their duties and their supervisor.
VI.POST-EVENT CLEAN-UP
  • Assist AFC staff in cleaning up the event area after the gala ends. Includes packing away event supplies, clearing out silent auction area, helping the design crew clean out the ballroom, etc.
VII.PROCESSING
  • Volunteers will assist AFC staff in cashing-out Silent Auction packages. May also assist winners in retrieving their prizes.
  • Volunteers will collect money from raffle sellers and fill out the corresponding number of raffle tickets for each guest. Must have neat handwriting and be detail-oriented.
  1. FLOATERS (2 shifts available)
  • Assist where help is needed, such as covering for volunteers on break. Must be flexible and

pro-active!

  1. PRE-EVENT VOLUNTEERS
  • Assist AFC staff with pre-event preparations at AFC (411 S. Wells). Must be able to volunteer at least 1 weekday, for 3-4 consecutive hours between 9am-5pm. Must be proficient with Microsoft Word, Abobe Photoshop, and Internet Explorer. Activities may include creating silent auction signage and wrapping premium gifts. Volunteer date and time to be mutually agreed upon.
  1. DAYTIME SET-UP
  • Volunteers will assist with general set-up tasks (e.g. room preparation, silent auction arrangements, etc.) needed throughout the morning and afternoon.

Frequently Asked Questions

1. How long will Not Just Song & Dance last? Approximately 6:00 pm until approximately midnight.Cocktail hour begins at 6:00 pm, dinner begins at 8:00 pm, and entertainment and dancing begin at approximately 10:00 pm. Volunteers are invited to enjoy Gala activities after their shift is completed.

2.How long do I need to volunteer in order to come to Not Just Song & Dance? The completion of at least one volunteer shift will usually fulfill this requirement, assuming the entire shift is completed (e.g., do not arrive late or leave early). Volunteers are welcome to sign up for as many volunteer shifts as they would like. Please keep in mind that while volunteers are invited to enjoy the gala after their shift is completed, helping AFC staff make the gala a success must be every volunteer’s first priority.

3. What happens if I do not complete my entire volunteer shift? Daytime volunteers who do not complete an entire shift will not be permitted to enter the Gala. Evening volunteers who enter the Gala and do not complete their entire shift will be asked to leave the premises. If the volunteer cannot be located, he/she will be invoiced for the price of a Gala guest ticket (guest tickets begin at $350).

  1. What is the proper attire for Not Just Song & Dance? Formal Black Tie attire.

5.Are volunteers at Not Just Song & Dance provided with dinner? A volunteer dinner buffet will be available between 7:00 pm and 9:00 pm. Access to this area will only be available to volunteers working during these times, after their shift has been completed (or during break for shifts longer than 4 hours) unless other arrangements have been made prior to arrival.

6.Are volunteers allowed to drink at Not Just Song & Dance? Bars will be open throughout the evening for guests of the Gala. Drinking before or during a volunteer shift will not be tolerated. However, after your shift has been completed, you will have access to the bars. Volunteers who choose to participate in this capacity must be at least 21 years of age and will be asked to provide proper identification. Please remember that you represent the AIDS Foundation of Chicago and drink responsibly!!

  1. What if I incur expenses as a result of volunteering—will I be reimbursed? At many events, volunteers may incur some expenses (e.g., parking fees, etc). AFC will not reimburse volunteers for these expenses; however, expenses incurred while volunteering are generally tax-deductible. The use of public transportation is recommended to limit such expenses.
