Advanced Person Search Procedure

Before creating a New Person Record, be sure that you have adequately searched the database for this person beforehand to avoid creating a duplicate record. Using thePerson Advanced Searchlink can help to ensure that you have not missed an already existing record.

Remember, you can search by using any combination of the fields available for an Advanced Person Search. It is not recommended to use all of the fields together.

On the Welcome page click the Person Advanced Search link.

Basic Search / This link will take you back to the Welcome page if you would like to use the Basic Person Search.
Direct Search Tools
Go to Person ID: / If you already have the person’s Person ID you can enter it here and click Viewor press ENTER. This will take you directly to the Edit Person Details page. The Person ID is the unique Shelter Buddy Internal Tracking Number. It is generated automatically when the person record is created and cannot be duplicated.
Go to Agency: / Agency refers to a local county office that the shelter is financially contracted with. The Go to Agency link allows you to access an Agencies record on the system. Animals can be transferred to or from an agency. Click on the down arrow to select the correct Agency from the list and then click View. This will take you directly to the Edit Person Details page for that particular Agency.
Go to Vet: / Vet refers to local veterinarian offices that your shelter contracts with or deals with on a regular basis. The Go to Vet link allows you to access a Vet’s record on the system. Click on the down arrow to select the correct Vet from the list and then click View. This will take you directly to the Edit Person Details page for that particular office.
Go to Shelter/Rescue: / Rescue refers to a local breed specific rescue organization, etc. that the shelter does not have a financial contract with. Shelter refers to an external shelter, separate organization, which the shelter does not have a financial contract with. Animals can be transferred to or from an external shelter or rescue. The Go to Shelter/Rescuelink allows you to access an organizations record on the system. Click on the down arrow to select the correct facilities name from the list and then click View. This will take you directly to the Edit Person Details page for that particular Agency.
Search by personal details.
Partial Search: / A check mark will default. Remove the check mark if the information entered is exact.
Last Name: / Enter the person’s last name/surname.
First Name: / Enter the person’s first/birth name.
DOB: / Click on the Calendar Icon to select the person’s date of birth. (select in the order of year, month, then day)
ID Number (e.g. license) / If applicable, enter the person’s ID number. More often than not this will be their driver’s license number.
Record Type: / Click on the down arrow to select the type of record that you are searching for.
Gender: / Click on the down arrow to select the person’s gender.
Region: / The region will default based on where the user is logged on. If incorrect, click on the down arrow and select the region.
Address
Search For / Identify which address type you are searching for.
Street Number: / Enter the street number.
Direction 1: / If applicable, click on the down arrow to select the direction (NE, SW, etc.) if it comes before the street name.
Street Name / Enter the name of the street.
Street Type: / Click on the down arrow to select the street type. EX: Road, Avenue, etc.
Direction 2: / If applicable, click on the down arrow to select the direction (NE, SW, etc.) if it comes after the street.
Apartment Number: / If applicable, enter the apartment number.
State: / This will default and drives the City list. If the state initials are incorrect, click on the down arrows to select the correct state initials.
City: / Type the first one to four letters of the city name then press TAB or click on FINDCITY. This will display a pop up menu that will display ALL cities beginning with and containing those one to four letters in the order typed. (*Note: Some cities will show multiple times. Select the one that displays the appropriate state and zip code to the right.) Click on the appropriate city to select it.
Zip Code: / This will default once you have selected the city. If this zip code is incorrect, go back to the City: field, search and select the correct city that displays the correct zip code.
Wildlife
Wildlife Activities: / If applicable, click on the down arrow and select the wildlife activities. Applies to persons who have either cared for wildlife for the shelter or who have brought injured wildlife to the shelter.
Wildlife Species Specialty: / If applicable, click on the down arrow and select the species the person cares for or has brought in.
Unidentified Residential Location: / If applicable, enter details if the location is not a proper address or there is additional address information. A PO Box cannot be used as a residential address.
Home Phone: / Enter the home phone number. *Note: Enter all phone numbers 3 digits, 3 digits, 4 digits.
Work Phone: / Enter work phone number. If applicable, enter an extension.
Cell: / Enter Cell phone number.
Fax: / Enter Fax number.
Email: / Enter Email Address.
Company: / Enter Company Name.
Personal Category: / If applicable, click on the down arrow and select a personal category that the file may have been added to for. EX: Adoption because they adopted an animal for the shelter or Volunteer because they volunteered for the shelter last year.
Old Database Record Number: / If applicable, enter the old record number of the person record.
Breeder
Animal Type: / Click on the down arrow to select the animal type.
Breed/Species: / The Breed/Specieslist is driven by what animal Type is selected. Type in the first one to four letters of the animal’s primary breed then click Find Breed/Species or press TAB. If the animal is a mixed breed, select the breed the animal primarily looks like. A pop up menu will display with a list of entries starting from or containing the letters you entered in the order typed or a breed/species will automatically default. If this is the incorrect breed/species, only type in the first letter of the desired breed to start the pop up menu.
