Additional information for new Friedman School student employees about your hire

Welcome!

Before you can start working in your new role, I will process your appointment in the HR system and will confirm with you when that part has been finalized. Soon after, you will receive an automatic email requesting for you to fill out your new hire information in the Employee Self-Service system (also called eServe):

1) Direct Deposit Form

2) W4

3) I-9 form (Section 1)

Once you have completed all three sections, you will receive a message asking you to bring your ID(s) to the Tufts Support Services (aka TSS) office to verify Section 2 of your I-9. Per federal law, this step must be completed within three days of your start date and you cannot legally work until it is completed. The TSS office is located at 75 Kneeland Street, 6th floor, room 668. The office hours are 9:00-12:30 and 1:30-5:00 Monday-Friday.

After you have verified Section 2 with TSS, you will be eligible to work and submit hours for payment. To submit your hours, download the standard timesheet from the Friedman School payroll page and email it to Charlene Stevens, copying your supervisor, by Monday at 10:00am for the prior week’s hours. Hours not received by the deadline will be included in the following week’s payroll. You will receive email reminders regarding payroll submission, including occasional updates for submission deadline changes due to holidays.

If you have been awarded Federal Work Study funds, it is your responsibility to understand and comply with related requirements and to track your usage of the funds, informing your supervisor when the funds have been fully used.

If you are an international student and your visa limits the number of hours you may work in a week, you must track your hours and comply with your visa restrictions.

Additionally, if you hold multiple jobs across Tufts University, you must inform your supervisor if the combined total of your hours worked across all jobs in a week will reach or exceed 40 hours/week as overtime rates will apply.
