Summer Language Schools – Excursions & Transportation Manager

Candidate Profile:

We are looking for an Excursions/Transportation Manager who is highly organised, efficient and flexible, and able to work in a busy, fast-paced, and often challenging environment. The ability to work calmly and effectively, with high levels of accuracy, even when busy or tired and whilst under pressure, is essential in this role.

The Excursions/Transportation Manager reports to the Summer Language School Manager & the Centre Manager. He/she is responsible for the planning, organisation and delivery of the Airport Transfers for arriving/departing students, the weekly Excursions programme, and for the management of money & administration for students and overseas Group Leaders throughout the Summer.

Excellent communication, social and customer-service skills are vital, as this is very much a public relations role. You should be able to build a team of positive and motivated staff members who will take responsibility, both individually and collectively, for the smooth running of the Summer Language Schools.

Experience:

Applicants for this post will need proven managerial experience and extensive experience of working with children, teenagers and young adults in a professional setting and in a variety of contexts.

Strong administration skills, a fine attention to detail, and a methodical approach are vital in this role, as the position will involve a lot of intricate planning work for various different groups of students, with many different requests and requirements during their stay. Therefore, some experience of working in an office environment is essential, and experience of working in a customer-care role would be beneficial.

Previous residential Summer Language School experience is preferred, and experience of working with international students in an EFL context would be an advantage.

Main Duties:

Airport Transfers

·  collate information from the approved transport provider with group/student names, numbers or passengers, arrival/departure airports, flight details and estimated arrival times

·  produce a schedule which ensures that each and every student is adequately catered for with their transportation, and that they are met/seen off by an Activity/House Leader

·  produce airport arrival information packs for Activity/House Leaders, giving them all the necessary information in order for them to enthusiastically and appropriately greet students at the airport

Excursions

·  arrange coach transportation with approved transport provider for Thursday half-day excursions (Bath/Stonehenge), Saturday full-day excursions (London/Oxford) & Sunday optional excursions, ensuring there are enough spaces for all students/overseas Group Leaders and staff

·  book & pay for any entrance tickets for excursions in advance of trip (walking tours, museum entry, open-top bus tours, any other paid optional entries)

·  arrange lunch vouchers to issue to students for all full-day excursions

·  produce Activity/House Leader & overseas Group Leader information packs for individuals to take with them on trips, to be distributed at least 1 day before excursion

·  meet with Activity/House Leaders before excursions to explain the daily plan and what is expected of them

·  liaise with Group Leaders with regards to booking and paying for optional Sunday excursion destinations for their students

·  be clear on all matters regarding excursions (dates, times, venues, transport etc.) to both Activity/House Leaders and overseas Group Leaders throughout the summer

·  Safety is a huge consideration for Excursions, and a large part of the preparation process will be dedicated to ensuring that every excursion has been risk-assessed and complies with all health & safety requirements

Money

·  collect student deposits & passports upon arrival at Clifton College, and deposit in main College safe

·  responsibility for distribution of student spending money to overseas Group Leaders during banking hours

·  collect all optional excursion money from overseas Group Leaders, collate and complete detailed financial reconciliation process, and deliver to Accounts Department

Door Access Cards

·  programming of door access cards for students and overseas Group Leaders before Summer, according to boarding house/classroom usage with relevant expiry dates

·  produce log documents with access card numbers for students to sign once access cards are distributed

·  manage the distribution of replacement access cards where necessary, cancelling lost access cards on the system, and taking payment from students for lost access cards

Rate of pay: £400.00 per week inclusive of holiday pay & full-board residential accommodation

Hours:

§  The Excursions/Transportation Manager is expected to offer full commitment to the position for the duration of the course.

§  Working hours will be variable and shifts will often be long (typically 10 hours or more). However, there will also be down-time periods when the Summer Language School is a lot quieter.

§  Shifts will include early mornings, late nights and weekends. THIS POSITION WILL INVOLVE WORKING ON EXCURSION DAYS, THURSDAYS/SATURDAYS/SUNDAYS

§  The Excursions/Transportation Manager will be entitled to at least one full day off per week (day variable), rising to two days off during quieter periods.

§  Whether you are on or off duty, you will be expected to put the welfare of the students and staff first.

Dates: SUMMER: w/c Monday 18th June (negotiable) – Tuesday 21st August 2018

(all applicants MUST be available for this entire period)

(there will be a day towards the end of June that we require staff to attend Clifton College for some basic first-aid/fire marshal training, this will be communicated to you if offered a position)
