Activities Admin Officer

Title: Activities Admin Officer

(Full-time, 37.5 hours a week, fixed term one year role with possibility of extension)

Reporting to:Interim Contract & Monitoring Team Manager

Salary: £18,540 p.a.

Job Role:

  • To contribute to the efficientrunning of the Contract and Monitoring Team
  • To collate and input all activity related information into the CRM database
  • To monitor, evaluate and liaise closely with internal and external agencies to ensure we capture accurate monitoring information
  • To work closely with the Single Point of Entry Team, Network Coordination Team and Subcontractors to ensure activities are run at maximum capacity
  • To ensure activity information kept up to date and succinct on both our Website and CRM database.
  • Organising and maintaining diaries & calendars
  • Minute taking and compiling reports
  • Organising events and publicity
  • To liaise and work with other team members and partner agencies to support the delivery of services.
  • To liaise and work with the network navigation team to ensure we deliver the most efficient single point of entry experience to our service user.
  • Ad hoc duties as and when required by Manager/organisation

General

  • To comply with, promote, and contribute to the writing and development of, City and Hackney Mind's Vision, Philosophy, Aims and Objectives and with all organisational systems, policies and procedures.
  • In accordance with the Health and Safety at Work Act 1974, to take responsibility for your own health and safety at work and that of any staff, service users or visitors you are working with, and to report any risks or potential hazards to the Health and Safety Representative.
  • To keep records and statistics for dissemination to effectively monitor the service, ensuring that all files and information is kept in accordance with City and Hackney Mind's policy on confidentiality
  • To be administratively self-supporting.
  • To liaise with other City and Hackney Mind projects and staff from partner agencies and external stakeholders to facilitate and maintain effective links.
  • To attend and participate in staff meetings, contributing to discussions and giving reports if needed.
  • To attend supervision, appraisal meetings and appropriate internal and external training courses as approved by your line manager.
  • To attend City and Hackney Mind staff away days.
  • To undertake any other tasks and duties commensurate with the post as directed by the Head of Recovery, or other senior manager in City and Hackney Mind.

Personal Specification

The Activities Admin Officer will be an excellent communicator with a good understanding of mental health issues.

The successful applicant will:

Essential

  • Be a self- starter
  • Have excellent written and spoken communication skills
  • Have excellent organisational and planning skills
  • Have a high level of IT literacy with a good understanding of all Microsoft office applications
  • Have a degree or relevant professional experience, applications from recent graduates are welcome
  • Have experience of working positively in a team

Desirable

  • Have experience of working with a database and producing reports
  • Have experience of working in an administrative or data administration based role
  • Have the ability to liaise with partner and external agencies

You will need to pass an enhanced background check by the Disclosure and Barring Service (DBS) before starting work with City and Hackney Mind.
