Faculty Load

Relevant Training/Discussion Highlights:
GAPs Identified: / GAP in functionality is that Banner will not allow an instructor to be assigned to a section without meeting dates & time. We need an explanation of how it will be done at CU. Gather this and put into the notes.
Decisions Made:
Decisions Required:
Other Issues and Concerns: / Sandra notices inconsistencies on SOATERM & SSASECT. We need to find out why the date ranges are not matching on both forms.

Action Items / Assignments

Description / Owner / Deadline
SIAINST – the faculty advisor information page.
Make the faculty active. There are a variety of designators including category (such as coach, etc.). Sandra does not see any changes to the deliverable so we may want to look at this table to change to match CU fields. Another designator would be staff type such as part time, full time, regular, temporary, etc. This information is found in the faculty handbook. When we are developing our faculty member base detail, they should be active, type and workload. Now do a next block function to go to the next page. Once we do the next block function, there has to at least be one home (school such as school of business).
SSASECT – the class schedule form. We want to make a note in the record as to how the hours per week are calculated. Sandra wants us to write this on the board so we can use the information in the practice section.
(end time – start time) * days per week/duration factor
(0950-0900) * 3/50= 3 hours
This is how banner comes up with this figure.
Duration is found in SIATERM (faculty load term control).
This is how banner looks at the hours per week function. The instructional workload form the course catalog is 4, 100% responsible for the session. There is a current defect –when we are adding the instructor, we will get an error that the room/faculty are already teaching a session when they are really not. The status is still open so Sandra will send us the defect number to add to the notes. We simply have to override to go forward past this point.
The faculty assignment form is SIAASGN – This will include the workload, information for the particular instructor. Contract type will also be included here.
Forms that start with an “N”. What fields will HR not want us to touch? We will want to include them so that we know what we are not supposed to change. % of a non-instructional workload to apply to the SIAASGN form.
Term analysis is run to show whether the instructor has satisfied the workload rules in this particular assignment form. Sandra wants us to think about why the contact is 51? SCACRSE – part of term has been set to 17 as opposed to 16 weeks. If we do the calculation of meeting times & the number of weeks there would be a total of 16 weeks * 3 meeting times, total contact would be 38, right? This is correct—
Hours/week from SSASECT/number of meeting days per week* total meeting days
We have not created the exclusion days in banner for the holidays. There would be an impact that was valid non-working days. For any part of term, it came out at 51.
7-9 & 7-10 in the Banner users guide will help with the faculty load portion and the calculation that we have came from the dynamic help query on this particular field. Sandra is including the information from the user’s guide for us to review.
Sandra is using an English section to review now. She is going to the meeting times so we understand that the credit hours will be 3 hours. We are going to SIAASGN to see what it looks like now. Total contact is 19 because there are 19 meeting times (MWF) between 01/23 and 03/07. Sandra wants us to look at SSASECT to look at a few things here. We can make overrides on the sections if we need to. Sandra wants us to look at one more section.
On the time calculation 1800-0900=900. Take 9 * 60/50=10.8 contact hours per week. Sandra wanted us to include this for an example. We want to use section 5515 as an example for this again that Sandra has previously set up.
There are 5 meeting times. It looks at what is on the meeting date page on SSASECT. The sessions are already set up that way. Normally, the first page and SSASECT will match. We want to make sure that the start/end dates are correct. The real start/end dates could populate on SSASECT. So we want to make sure they match.
SSASECQ – schedule section query.
You can’t blow away the meeting times without blowing away the instructor. Part of term will be pulled from the first page. Both Saturday meetings will be included.
We can break the sessions into 2 different sections such as those weekend workshops which meet in the morning & afternoon. We would need to create a section 1 & 2 for these. We need to look in conversion- Sandra notices inconsistencies on SOATERM & SSASECT. We need to find out why the date ranges are not matching on both forms.
SIAFLRT – workload term rules form. Workload rules can be created to show what we expect of our instructors. We can use 4 CHAR for department on the validation table STVDEPT that is set up for Cameron. Tom is recommending that we create an additional code of ADJT – for adjunct where we could monitor how many hours the person is eligible to teach.
SIAFLCT – faculty contract term rules. Sandra has seen where it might only be spring only, or fall only or summer only or fall&spring only etc. The validation table only had one code in it. The validation table was: There are things that most closely represent what we have currently.
Sandra wants us to go to the SIACONA – faculty contract analysis form. We can choose the next block function to see where the rules are created for the person.
SIAFAVL – available faculty query which will indicate that faculty that might be open for assignment.
SIAIQRY – faculty/advisor query form which would assign which school they apply to. The academic department could use this form when creating schedule. Linda is asking if there are shared tables in this form. Override may be done at the section level.
Sandra recommends that someone from Academic Affairs, etc. should be responsible for the faculty load rules, etc.
GTVMTYP – is the validation table that we need to look at for this problem.
GAP in functionality is that Banner will not allow an instructor to be assigned to a section without meeting dates & time. We need an explanation of how it will be done at CU. Gather this and put into the notes. Tom said we also can’t put online courses in because we can not assign dates to them at this point.
We need to find out who will be tasked with identifying the answer. Sandra wants to look at the extracts to see where it went. Dawne has SSBSECT up on the screen to see what might be going on.
We are still discussing the issue of that the part of term dates do not match on SOATERM & SSASECT.
SSAEXCL – schedule exclusion rules form. That we would need to look at.
Tenure was not included as part of the scope document and Tom says he needs that so we will “manually“ need to put this information in the system.
We did not load any degree information for faculty that can be utilized in banner under SIAFDEG. We would want to look at the load data for the faculty module.
SIATERM – faculty load term control form.
We are asking how to do workload for an arranged course. Sandra states that banner can not calculate workload if a course does not have a specific date/time for the course.
Sandra is asking if there is a methodology for private lists.
We have determined that we can use the TBA acronym for our weekend courses and online courses where we currently indicate ARR for arranged courses.
In the schedule type, we will want to see private lesions or TBA/ARR type to where we could. SSB will show the days/where as TBA for both places which is what we want to see.
There is an assignment on the floor that someone test the faculty load portion. (Tom/Aubree) to ensure the faculty load information is working correctly. Linda will visit with these two to ensure they understand the assignment.
We would like to have additional fields populated for college/department, etc.
