Acceptance of previous meeting minutes

Matters arising

Handover of presidency

·  Adrian will take over ACMA email inbox currently checked by Kate

New member welcome mixer

·  ANZ (Sharon) sponsored $800 towards food and goody bags

·  Derek & Wilson gave talks and Carlos organized venue

·  A review of this event will be published on the next newsletter

·  Next welcome mixer penciled in for around the same time next year (roughly mid-year)

o  At the appropriate time, can put in an ad on GP pulse to better advertise this event

o  Spreading the news to personal contacts of all members is also encouraged

·  As part of further promotion of ACMA membership, AMCA will produce a 1 page brochure which will be made available at every CME dinner and also at new RMO orientation

o  Kate will circulate a draft by email

Membership updates

·  Membership secretary not available to provide a report

·  As far as the treasurer is aware, new members since last meeting: 5 posted, 1 online

Membership benefits

·  Current sponsors: medical books, Les Mills, ANZ, Puhinui/Auckland City Pharmacy

·  There will be an ongoing drive by all exec members to create new membership benefits

·  At this stage, it is felt that members will not need a physical membership card, but it will be useful to provide membership numbers for the purpose of claiming benefits

o  Proposal to implement a membership number system as part of the membership benefit system

§  Proposal accepted unanimously by all present

o  The membership number can start with the year of membership (as evidence of current validity) followed by an individual number for each member

o  It is anticipated that this scheme will come into effect some time next year after the membership benefit system is more fully set up

Finance & sponsorship/funding (for ACMA & CME)

·  ACMA will be opening a new ANZ account and all new deposits will go straight into the new account

·  Sponsorship

o  ACMA will continue the drive towards non pharmaceutical sponsors

o  Multi-year deals would be great but new sponsors feel they don’t know us well enough yet

o  ACMA will continue to offer different grades of sponsorship – this will be the first year, running as trial

o  The miminum level of sponsorship (Bronze sponsorship) will be around $1500-1800, so that two of such sponsors can sponsor an entire CME event

o  Traditionally the CME coordinator organizes sponsorship & venues – this workload may be better shared by two or more people

o  Interested sponsors for the rest of the year: ANZ, ComVita (honey products etc)

§  ANZ Had wanted to know who of our existing members are current ANZ customers – Kate has not felt this would appropriate information to divulge out, a sentiment shared by the rest of the exec present

o  Other potential sponsors: insurance brokers, accountant

o  Car companies don’t tend to be interested unless we have a an established customer contact, which ACMA does not have currently

o  Sponsors want some flexibility with dinner dates as well – speakers are easier to find than sponsors at the moment, hence this is something that was felt potentially negotiable, subject to speaker availability on different dates

CME

·  Next CME booked at Sun World Millenium on 23 June – will have our own room

o  Sponsor is Ray White (contact person is Megan Jaffe, wife of Warwick Jaffe)

·  We can look at Imperial King in Mt Wellington for a later CME dinner this year

·  The August CME will be sponsored by ANZ, the next one after that by ComVita

ACMA conference 2014

·  Question was raised what is the benefit of hosting regular conferences and point was raised that these are good for 1) the ACMA brand 2) attracting and retaining membership 3) attracting future sponsors

·  A hotel venue will likely attract more out-of-towner attendees

o  Novotel is a reasonable potential venue – central location yet parking is free

·  ANZ will probably be able to provide goody bags similar to the one given at the welcome mixer

·  Will consider hiring an events coordinator (cost probably ~$1000) – they may be particularly useful attracting sponsors if they have experience organizing medical conferences

·  Planning for single day on a Saturday as in the past, with lunch, but not dinner, provided as interest in post-conference dinner was low in the past

·  Potential topics of interest/relevance not included in the past: Practice management (practice manager speaker), business/health insurance

·  Aim to time the conference to avoid clashing with other GP conferences such as: Goodfellow symposium, Dunedin conference, GP College conference , Rotorua (NZMA) conference

·  Aim to entice more ROMs to attend, including with new membership incentives

Yacma

Newsletter/website update from editors

·  next newsletter is planned for publication 1 week after the next CME, which will allow 2 CME notes to be included in the newsletter similar to the most recent issue

·  The editorial teams feels that with the original choice of web coder there would be a greater time commitment required to developing the website than anticipated, which the students could not guarantee with their study workload

·  Hence ACMA will need to hire someone to design a website

o  Points raised regarding finding a good website designer: Avoid licensing fee, avoid not having ownership of the finished website, avoid annual fees

·  Carlos will give the contact of a web designer to Adrian who is currently designing a website for a practice that he is working at – this particular designer was chosen for that practice as he was felt to be the most cost effective designer around

General Business

·  An insurance company (Leicester Gowland) wants to sponsor a medical students’ event – Kate has suggested that they can sponsor the skills workshop with a 10 minute talk at the beginning (content to be provided to ACMA beforehand)

·  Appreciation expressed to Kate for her term of presidency by exec team present

·  A number of membership forms and dues only, passed on to the treasurer
