oPERATIONS manager

Responsible for: Central Operations (HR Manager, Executive Assistant, 2 X Receptionists)

Location:LSESU & SUARTS, Central London

JOB PURPOSE

  1. To be responsible for Office Management and HR
  2. To contribute to union wide strategic and operational planning
  3. To manage 4 Central Operations staff

KEY RESPONSIBILITIES

  1. To be responsible for Office Management and HR

Office Management

  • Responsible for the management of reception staff at SUARTS & LSESU ensuring an exceptional level of customer service
  • Responsible for ensuring the main union information accounts are managed in an appropriate and timely manner
  • Supporting income generation through managing the shopify, TFL and NUS Extra accounts
  • Responsible for ensuring reception functions can support union wide services (ticket sales, sports & society memberships, signposting, advice centre drop in)
  • Responsible for ensuring SU Office spaces are compliant with Health & Safety policies and productive & creative environments
  • Responsible for ensuring reception takings are safeguarded and banked regularly
  • Attending UAL & LSE Health & Safety committees, ensuring both Unions implement University/School initiatives
  • Responsible for managing the union’s equipment inventory and arranging regular safety checks

HR

  • Responsible for managing the posting and monitoring of jobs
  • Lead on recording recruitment and HR documents in line with our E&D and data protection policies
  • Responsible for the management of interview processes (schedule, running the day, offer letter)
  • Responsible for delivering inductions for all new staff
  • Responsible for the unions learning and development ‘scheme’ ensuring process are followed, feedback recorded and budget allocated accordingly
  • To ensure that tools and resources are available to the management team through our shared drive and updated regularly
  • To ensure that processes and procedures relating to HR are in place and delivered consistently in-line with the staff handbook
  • To lead on the development, implementation and maintenance of HR and Office related administrative systems
  • To exercise strict confidentiality at all times and ensure that all HR documents are filed correctly and kept confidential

  • To contribute to the allocation of the department’s staffing and resources to improve quality, performance and impact
  • Contribute to the Union strategic and operational planning, promoting equality of opportunity, staff development and wellbeing
  • Responsible for developing department operational plans to drive delivery of strategic aims and enablers
  • Responsible for identifying and developing evidence based new projects and ideas to drive improved quality, performance or impact
  • Responsible for budget development and management relating to the functions in the Central Operations department
  1. To managethe Central Operations team
  • Responsible for driving the performance of Central operations team
  • To be responsible for the management and development of 1 manager and 3 front line staff
  • Arrange, chair and keep a record of management and all staff meetings within the team including performance reviews, appraisals, 121s and investigations
  • To manage the Executive Assistant to support the senior management team
  • Manage the team’s learning and development
  • Responsible for work undertaken by this department’s staff with student officers, and part-time student staff

GENERAL DUTIES

In addition, all staff have the following general duties laid out in their job descriptions:

  • To deliver and develop targets outlined in the Union’s strategic plan.
  • To contribute and assist in the Union’s planning processes and the review of its performance and systems.
  • Contribute to the positive and professional image of the Union and not act in such a manner as to bring the Union into disrepute.
  • To observe and uphold the requirements of the Union Constitution and act at all times in accordance with policies including equality of opportunity.
  • To undertake your own typing, filing, photocopying etc.
  • Undertake any other duties appropriate for the grade and responsibilities of the post that may from time to time be reasonably requested.
  • To take ownership of, their Induction, Personal Review Programme,Departmental Staff Meetings and be responsible for carrying out duties with full regard to the rules, policies and procedures and conditions of service contained in the Staff Handbook, and within Departments of the Students’ Union.
  • A condition of employment is that all staff are expected to assist in key events throughout the year e.g. Freshers and welcome festivals and any other key event, including elections, if necessary. Staff are expected to portray a positive image, both internally and externally of the Students’ Union by displaying high standards of service, integrity, punctuality, politeness and professionalism.
  • Where you are required to work with volunteers you must support and manage them appropriately in line with the Students’ Union volunteer policy
  • Environmental consideration and environmental best practice is the responsibility of all Students’ Union staff
  • Any other tasks that would be deemed suitable within this role as directed by line manager
