AAN LUNCHEON MINUTES

October 10, 2013

Total Head Count: 70

  1. Charlotte Fant (Assistant Provost, Registrar)
  • University Policy has changed in the following areas:
  1. Repeating a Course
  • The main problem was that students were retaking courses they had already received an A or B in, just to boost their GPA. Since the system did not recognize this, it was almost impossible to catch until after they had already completed it.

-Now, the system has been changed, and the computer will

only allow the student to take the same class a limited

number of times.

  • Student must now have a B- or lower to take the course again
  • 2 Distinctions: Lower Division (299 level courses or below)

Upper Division (300 level courses or above

  • There will also be messages explaining this information to students as they register for classes on MyOlemiss.
  • Some students are required to take Developmental Studies courses. If this is the case, no matter what, they have to pass that class before they can move on into other courses.

-If this happens, the aforementioned changes to the system

will allow their advisor to have a conversation with them

about what their options are. (i.e. possibly recommending

they take the course at a community college and then re-

enrolling after they’ve passed it, etc.)

  1. The Forgiveness Policy (not “Freshman Forgiveness”)
  • Students will now be able to have up to 4 classes (12 hours) erased from their records. This change was made so that those who have struggled throughout their first semester to transition to college courses can have those grades erased (if they were bad).
  • The form for forgiving a Lower Division course can be submitted online to the Registrar’s Office.
  • The form for forgiving an Upper Division course should be printed off, filled out and taken to the specific department in which that course is offered.
  • Once a student has used the Forgiveness Policy on one course, they technically are not allowed to switch that one out for another one. (exceptions will have to be made in acceptable cases)
  • A C- is now forgivable, because it is recognized as being worth less than a 2.0.
  • The Academic Discipline policy has changed. Some instances are forgivable and some are not. (i.e. plagiarism is unforgivable)

-In SAP cases that are unforgivable will show up with a

“UF” next to it, so that you can know, as their advisor

whether the student may use the Forgiveness Policy on

that class or not.

-This will show up whether you are accessing the student’s

Information through “Academic Work” or through “ZCM

Grade Simple.”

  • Sanctions for determining what cases are forgivable or unforgivable are grouped together in the system.
  • August Intersession classes are now allowed to be considered toward credit for summer graduation hours. (Only August Intersession)

***Students may not have EDHE 105 forgiven, because it is only meant to be taken during the first semester of their freshman year.

  1. Frank Matthews (Associate Director of Enterprise Applications, IT)
  • When a student is admitted, they can go into MyOlemiss and fill in their parents’ information as well as what they would like for their parents to have access to (financial aid, pay my bills, academic info). This is for you to know, as their advisor, what information you can give to their parents and what you cannot.

-Now the student can also give the parents permission to have a WebId, which

will be to access the student’s account.

  • With this new WebId, parents will be able to access the following information:
  1. Absences 5. Address
  2. Anticipated Graduation Date 6. Grades
  3. Schedule 7. Holds
  4. Transcript 8. Registration Window
  • The Academic Catalog is no longer available in paper form. It is now available online at this web address:
  • On the site is the list of courses available in an A-Z index. (organized alphabetically)

-Also, on the site will now be an indicator for classes that have special fees.

-The website is compatible on all devices.

-Both catalogs ( Fall and Spring) are online.

  1. Academic At-Risk (Margaret Walden, Associate Development of Appl. Devel., IT)
  • Helps identify students who may need early intervention.
  • Reasons why a student may be put on the Academic At-Risk
  1. Excessive Absences (4 or more qualifies as excessive)
  2. D as a midterm grade
  • The At-Risk status resets every semester, so the student is not “branded for life.”
  • When/If any of your advisees are considered to be “At-Risk,” you will receive an email notification.

-You can access all of your students who have this status in MyOlemiss, under

the “Advisor” tab.

***If you are receiving an “unauthorized” message when you try to access this information, email Margaret Walden at .
