A Guide for AliveCor Project Leads

Executive Summary

The aim of this project is to understand if a system-wide procurement initiative can improve the uptake of innovative technology (mobile ECG) and stimulate the market in primary and community setting, to better identify AF.

This summary is to help you to have the right systems and processes in place so you get the most from these devices in your specialist areas. It also guides on the use of all the project documentation.

Privacy Impact Assessment and Memorandum of Understanding

If you have been supplied with a device then the Privacy Impact Assessment form (PIA) has been completed. The Privacy Impact Assessment Template (PIA) sets out the purpose, process and information governance requirements of the project. Participating Clinical Commissioning Groups (CCG), NHS Acute Trusts and individual Organisations have reviewed this document. The Local Memorandum of Understanding (MoU)will have been completed by the local project lead. This sets out the ownership of the devices and obligations of the Academic Health Science Network (AHSN) and the recipient organisation including, responsibilities for the device, training of staff and data collection. This document must be signed by each individual organisation taking part in the project and sent to the local AHSN.

Here are

some things that might help the implementation of this process;

Where devices are being issued to patientsto take home

  1. Has the Wessex AHSN paperwork been updated for local use with local contact details and a central email address set up for patients to send traces to.
  2. Has a process been set for the patient be booked back in to clinic for follow up review
  3. How will traces sent via email be reviewed? Will patients be booked back in to return the device and reviewed or is another plan required
  4. Has the process been set for issue and return, can this be measured?
  5. How is the data from these devices being collected. Number of times used, number of AF detected
  6. Are more training sessions needed. Have staff all received training from Wessex AHSN project lead
  7. Have the devices all being issued to staff members and logged via the registration system
  8. Do you have sufficient access to patient information leaflets, contracts, self-addressed envelopesetc.

Where devices are being used in a Primary Care Setting

  1. Has the clinical settings been maximised to screen as many over 65 year old patients as possible
  2. Are more training sessions needed. Have staff all received training from Wessex AHSN project lead
  3. Have the devices all being issued to staff members and logged via the registration system using nhs.net email addresses

1 - The HCP‘How to Pack’;

This includes paperwork to assist the HCP in understanding this project more fully and support them in setting up the Kardia app on their phone or tablet and taking an ECG, It also includes some reminders about the governance requirements for this project. What’s Included;

  • The Project Flowchart sets out the recommended procedure and information governance for the use of the AliceCor device and mobile APP on behalf of the AHSN roll out project which includes a link to The AHSN Registration Formwhich must be completed by all health care professionals who are using the device. This can be accessed online and will enable Kardia to monitor the usage of the devices for evaluation purposes.

2 - The Patient ‘How to Pack’;

This pack has been developed to help the patient understand why they are being reviewed and how to set up the Kardia app on their phone or tablet. It’s primary use is for patients taking the devices away from the host organisation and the documents have been written with this in mind. If you wish to use these documents in a different area then please do edit them as required

  • The Patient Guideit a full Guide which shows step by step how to set up the Kardia app and register the device. It provides contacts if there are concerns and also links the Alivecor video for an easy demonstration of how to take an ECG. Every Patient guide will need editing for local use to include a return address for the devices and a local email address for return of the ECGs.
  • The Patient Contractwhere devices are being taken away we recommend that a contract is completed with each patient to try to ensure return
