Membership & Special Projects Coordinator

REPORTS TO: President

SUMMARY: Under minimum supervision, the Membership Director will create, develop and sustain the membership of the Walton County Chamber of Commerce and its special events through customer service, program promotions and member benefits.

DUTIES AND RESPONSIBLITIES:

1. Membership Recruitment

a. Recruitment of New Members

· Weekly Sales & Prospect Report filed with President on Friday

b. Handle Scheduling of Ribbon Cuttings and Ground Breaking Ceremonies

c. Hold New Member Receptions with President and Membership Development Committee

d. Follow New Member Checklist procedures for your job assignments

2. Membership Retention

a. Retention of Existing Memberships

b. Servicing of Past Due Accounts

c. Follow Renewal Membership procedures for your job assignments

3. Membership Benefits and Publications

a. Keep an Active Membership Sales Packet Updated & Copies available for Staff

b. Responsible for publication of Annual Membership Directory

· Sell ads for the Membership Directory

· Chamber members listed both alphabetical and categorical.

(This is to be delivered with Operation Thank You to the members in March annually.)

4. Special Events & Projects

a. Responsible for coordination of Chamber Special Events

b. Maintain a close working relationship with chairs of committees and task force groups to handle events

c. Goal for events to make a higher net profit than budgeted by the board of directors

d. Handle special projects and solicit needed materials and door prizes for various projects

5. Committee Responsibilities

a. Ambassadors, Membership Development, Marketing & Communications

· Keep an updated notebook for Ambassadors & Membership Development Committees

b. Special Events Task Force: Annual Dinner Banquet, Golf Tournament, Casino Night & Auction, Business & Community Expo, College & Career Expo (Education Committee Event)

· Keep an updated notebook for each event

c. Attend and help set up all events, projects and meetings as requested

6. Community Information Assistance

a. In absence of Receptionist & Office Manager, handle daily duties for their positions

b. Daily Office Appearance: Daily Office Appearance: Keep your work area neat and orderly, including another employee being able to locate information needed in your absence.

c. Empting your trashcan on Fridays weekly

d. Maintain accurate time sheet for yourself and turn in to the President by the Tuesday morning prior to payroll on Friday

7. Complete additional projects and other duties as assigned.

CONTACT: Extensive contact with chamber members, volunteers, local business and industry leaders and chamber staff.

QUALIFICATIONS: High School Graduate; Minimum of four years experience in a related field. Experience to include organizational skills, sales, marketing, computers, motivation of volunteers and personal relation skills.

DRESS CODE: Business attire is required. Jeans only as announced by President.

WORK HOURS: 8:30 a.m. – 5:00 p.m. – Monday – Thursday

8:30 a.m. – 4:00 p.m. Friday

5-Day/Week Employee – 40 Hours Weekly

Additional time for meetings and events may be required

Compensatory time given for hours worked over 40 hours/week.

Anytime there is a meeting scheduled at the office prior to 8:30 a.m.,

ALL STAFF will be required to be at the office

fifteen minutes prior to the meeting time!
