Photography policy

Rationale

The main principles of the playgroup photography policy are:

· Protection of the rights and privacy of the students, from a data protection perspective

· Clarity on the usage of photographs

· Protection and security of the images

Policy statement

In a modern playgroup there will be occasions when the taking and publishing of photographs in necessary and beneficial. Within this context it is vital that the images are appropriately protected, permissions are sought, and systems and actions are transparent

Purpose of taking photographs within the playgroup

1. To contribute to the quality of student records

2. For visual displays within the setting

3. For website and other marketing material

4. Under certain conditions, for sale or distribution to parents

Consent

Consent needs to be sought from parents/carers for any photographs being taken. The consent form will cover the following:

· Permission to photograph the child

· Clarity on any eventual usage of the photograph (see 1-4 above)

The images can only be used for the specific purpose for which consent was given

Storage and usage of images

1. All cameras on which photographic images are taken must be the property of the playgroup, and must be stored on site in a secure location

2. Images for the use by the playgroup must only be taken by a member of staff, committee member or other authorised individual

3. If images are to be stored away from the setting, i.e. on the home computer of a staff or committee member, the images and the computer must be protected with passwords and the images stored in a restricted access area

4. Photographs displayed within the setting or on the website should be only of students who are currently enrolled or who have left within the previous 12 months.

Photographs taken by parents/carers

Any images taken by parents/carers, for example at concerts or sports days, must only be used for private viewing purposes, and must not be distributed or published in any form

Sale of photographs to parents

As a principle, any photographs taken to be sold to parents are to be taken by playgroup staff or committee members, with the appropriate permissions and storage rules being adhered to.

If this is not possible and external photographers are commissioned to take photographs for resale, the following conditions apply:

· The photographs are only to be used for the specific resale purposes to parents

· The photographer waives their standard rights to own copyright of the images once the sales process has been completed

· The regulations on the playgroup policy for joint marketing are adhered to
