Re: Performance Improvement Plan

I am writing to confirm the outcome of our discussion on <date> concerning performance issues associated with the following (full details attached):

Due to <specific reasons why these incidences are regarded serious enough to place the individual on a Performance Improvement Plan (PIP) > it is regarded that the effect is significant enough to warrant the commencement of the informal process for managing inadequate performance. The key impetus of this is to address the development needs required to avoid a repeat of such events. The informal process will begin on <date PIP begins> and take the following form:

As your line manager I will construct a draft initial framework for a Performance Improvement Plan which will include:

· An outline for appropriate improvement objectives to address your skills gaps and development needs. These will include clear and specific success criteria.

· A description of the additional development and support that will be given to you for the duration of the plan to support your success in achieving your improvement objectives.

· A description of the evidence that will be gathered in order to monitor your progress against your improvement objectives.

· A schedule of progress review meetings that span the duration of your Performance Improvement Plan.

· The consequences of non-improvement against your improvement objectives.

· The duration of your Performance Improvement Plan.

We will meet to give you the opportunity to input into the improvement objectives and identify the development and support you feel is necessary to ensure your success against these objectives.

Once the details of the plan have been discussed I will update the plan. The plan will be implemented when we have both copies of the final version of the plan signed by me. You shall retain one copy of the Performance Improvement Plan and I shall retain a copy for my records.

At the specified end date of the Performance Improvement Plan, the outcome will be dependent on the progress made against your improvement objectives; either the plan will be concluded if satisfactory progress has been made against your objectives or the consequences outlined in the plan will be invoked if improvement is unsatisfactory.

To reiterate, the key focus of this activity is to ensure that you have the skills and capabilities required to avoid such events recurring. I am confident that the clear structure and process outlined in a Performance Improvement Plan will prove beneficial to you in addressing the concerns outlined. For my part I am committed to doing everything I reasonably can to support you in your efforts.
