OSU MARION VEHICLE USE POLICY

1. University vehicles are to be used only for authorized University business and operated only by authorized individuals. An individual is considered authorized once the Driver’s Registration form has been completed and sent to OSU Office of Transportation and Parking Services. Individuals operating a University owned, leased or rented vehicle who have not completed this form will not be covered by the University’s insurance and may be liable for all damages and claims. Registration forms are available from the receptionist.

2. Only persons holding a valid and appropriate driver’s license, authorized, and meeting the University’s standard as specified by the OSU Office of Transportation and Parking Services may operate a University owned, leased, or rented vehicle.

Minimum required qualifications for drivers are:

a. 18 years of age or older (21 years or older for 15 passenger vans)

b. Valid United State Drivers or Canadian Drivers License

c. Driver must be a faculty, staff, or student employee of the University, or working in an official capacity for the department.

The University may, when assessing a driver’s qualifications, obtain a copy of the official driving record of any registered driver from the applicable State. The composite driving record, both personal and professional, will be considered when assessing driver’s qualifications.

3. Drivers of all University operated vehicles must comply with all state and local traffic laws. Drivers are responsible for payment of any fines resulting from violation of motor vehicle regulations while operating University vehicles.

4. Only authorized passengers may ride in University vehicles. These may be OSU faculty, staff, and students. Guests may ride in University vehicles if written authorization is obtained from the Dean and Director in advance. Written authorizations are to be kept on file with the receptionist.

5. Campus owned vehicles are not to be taken out-of-state.

6. An accident report must be filed with local authorities for any accident involving a vehicle that is owned, leased, donated, rented or otherwise managed by the University if the accident results in personal injury to either party or results in vehicle or property damage. You are required to report all accidents to the Office of Transportation and Parking Services and the Marion Campus Business Office within 48 hours after the occurrence.

7. The scheduling, signing in/out, and the issuing/returning of keys and gas card are done with the receptionist during normal work hours. To accommodate times outside of normal work hours requires special arrangements in advance with the receptionist.

8. Usage of University vehicles must be documented on the Vehicle Use and Mileage Log. It is distributed when the vehicle is signed out and is required to be returned when the vehicle is brought back to campus.

9. No smoking is permitted in the vehicles under any circumstances.

10. No eating is permitted in the vehicles.

11. As a courtesy to other users, vehicles should be returned within the reserved time.

12. You are responsible for filling the gas tank before returning to campus whenever the tank registers 1/2 full or less. Failure to adhere to this policy may result in loss of privilege to use campus vehicles.

13. You are responsible for removing any “use cause” litter from the vehicles upon returning to Marion campus.

14. The University provides liability and property damage insurance for its authorized drivers and vehicles. The University covers NO medical expenses of university employees or passengers. Coverage shall be provided only by applicable Bureau of Workers’ Compensation, University staff medical or personal insurance. There is a $10,000 deductible per accident payable by the department (Marion Campus). When a University vehicle has damage to or is involved in an accident, an accident report must be filed.

16. University vehicles are to be housed on University property when not in use.

17. Priority use of campus vehicles is as follows:

· Courier

· OSUM recruiters (Admissions)

· OSUM class trips

· Faculty and staff travel to Columbus

· Miscellaneous campus support (faculty/staff visits in community, supply errands)

· Faculty and staff conference travel (must be pre-approved by Dean), mileage will be charged to travelers travel allowance.

· OSUM student activities/athletic support
