MSU Meeting Agenda: December 2nd, 2014

I.  Presentation of minutes from November 4th

a.  Minutes approved

II.  Sunny Nakae, Assistant Dean for Admissions, Recruitment & Student Life --- Wants to present new ideas for structuring

a.  Family weekend, debating whether to do boat again? Low student turnout for the last couple of years, what do people want to do instead?

i.  Do white coat on Saturday? Family weekend dinner in the gym instead? Raffles, submit old family photos for slideshow, play games, etc.

ii.  Goal is to meet new families, boat does that bc you are trapped

iii.  People who went liked it

iv.  Pulls new people downtown, how can we keep it easy to travel downtown?

v.  Volume discount? Make it so family members can buy tickets instead?

vi.  Maybe white coat Saturday morning at SSOM followed by reception here, then the boat cruise downtown?

b.  Perspectives for students-stress management

i.  Want services to be useful, helpful

ii.  Stress, counseling relationships, wellness services are available

iii.  How can we make more accessible? Connect link to home page? Lumen? services need to be findable-could make a Lumen “perspectives” link at the bottom

iv.  Could have a day in the atrium to let people ask questions like financial aid does each semester?

v.  Making a card that has the contact info on it? Magnet?

c.  Is there anything you want us to work on?

i.  Cell phone service

ii.  IT

1.  Will be switching over the lakeshore IT team, hopefully will getting a few of them assigned specifically to us

2.  40% of website links are dead?? Needs to be fixed

d.  Student organizations

i.  Wants to streamline handing over group leadership, have time of overlap so that can have better transfer

ii.  Cloud storage for student groups, avoid reinventing the wheel

iii.  Timing ideas for hand-off? Before M2 boards “cliff” (spring break time?)

e.  Centralized calendar--Map the year in advance

i.  Work with young alumni to help with funding of student groups and services, help with wellness, send calendar to them, do alum profiles on who has helped and donated, should get more money for student groups potentially

ii.  Ideas for platforms? Get into lumen calendar for easy access, would be same backdrop that we are used to for classwork.

iii.  Make accessible for perspective students

iv.  Hopefully this will increase physician engagement, will have a better support system for student groups

v.  Would be difficult given M2 hectic schedule

vi.  Physicians pick the days of events sometimes, hard to plan so far ahead of time

vii.  Events are not set up far enough in advance

viii.  Use room scheduler as a means of communicating?

ix.  Have someone whose job it is to see conflicts in student group schedules?

x.  Maybe a hybrid, annual events get scheduled? Want to try to get more funding from alumni and they need something to look at. May be helpful to know days that other people have blocked off so you don’t schedule anything

xi.  Make new officers go through a training on scheduling events/room scheduler?

f.  Make a position that is an advisor for all student groups, then current advisors can be “facilitators” or “mentors”. One advisor would help with policies and planning, more administrative hands-on.

g.  Reviewing admissions process, want to get more students involved, we are good at discerning achievements, etc.

i.  4 committees of students that, goal is to diversify biases, applications will get more reviews, will be an opportunity for long term involvement

ii.  Groups Mondays and Fridays for interviews

1.  groups of 20

2.  want to use the SAC for lunches, can sign up to eat lunch with applicants

3.  Current system is hard on the staff-only school that interviews every day

4.  Need a standardized schedule

5.  Adding a didactic group exercise

6.  Students are concerned bc they liked that it was small, people felt like they were in a competition at other schools

7.  We will pilot any new activities first

8.  Not everyone is good at one on one interview, changes might give a chance to shine in other arenas

9.  Felt that interview days were personal, that’s why a lot of people decided to come to stritch (some Saturday people thought there day was personal also)

10.  Larger groups will let you see the type of people that the school is looking for, see if you fit in

i.  Spring Formal- March 27th, at the Shedd Aquarium!

C. Treasurer—Jared Miller

i. Budget Update

a. St. Lukes update: $10,525, so under budget! That money will be added to the group budget

b. $1000 for the mixer from Dean Lambesis!

c. 24 groups haven’t used their money yet, if your group isn’t using the money, let us know! We could definitely use it!

d. Submit money forms ASAP, preferably before break!

III.  Report from Class Presidents

A.  M1 – Patrick Kramer

a.  Thanksgiving baskets, over 400 baskets, M1’s won, congrats!

b.  M1/M2 thanksgiving potluck, turnout of 50, good food! Thanks for coming!

c.  Selling Christmas ornaments that say SSOM, look for email from Nellie

B.  M2 – Lizzy Carroll

a.  UWORLD signup sheet will be coming out, we will not be paying for it until after loan dispersal

b.  Are going to talk to deans about increasing quiet study spaces for next semester

C.  M3 - Hani Kuttab

a.  Last rotation of the semester

b.  M3 holiday party, dec. 19th, Hani’s house!

c.  Still organizing review sessions for MHD, M2’s should definitely go to them! Current block review might be dec 11th

D.  M4 - Caileigh Pudela

a.  Interviews are all under way

b.  Military match before Christmas, match list for urology/optho go in before Christmas
