Status: Permanent position; 35 hours per week

Terms: Salary – between £22,000 and £25,000 depending on experience

Holiday: 33 days including Bank Holidays

Pension: 5% employer contribution

Background information

The Society of Jesus is a worldwide Roman Catholic religious order established in the 16th century. The British Province (also known as the Jesuits in Britain) is presently engaged in a wide variety of works here in the United Kingdom including education at all levels up to university, spirituality work, social justice concerns, pastoral provision and many other fields.

The Provincial Offices are based in London (Mayfair) and provide the central administration for much of the work of the Jesuits in Britain. There are about twenty people working in the office covering general and financial administration, media, fundraising, healthcare and other related works.

We currently have a vacancy for an individual who can provide a high standard of written and spoken English and has the ability to communicate with people at all levels confidently and courteously. Attention to detail is important and the right applicant must be able to work as an approachable team member.

This is a post for an all-rounder, therefore applicants must also be flexible where necessary.

Applicants should meet the required responsibilities as listed below.

Main purpose of role

To work as receptionist for the Provincial Offices of the Jesuits in Britain, ensuring visitors, telephone calls and queries are dealt with quickly, efficiently and courteously and carrying out general office duties as required.

Main Responsibilities

¨ Answering the switchboard 9.00 – 5.00 pm with 1 hour flexible lunch break.

¨ Screening all incoming calls in an efficient and courteous manner and assisting callers where possible.

¨ Welcoming all visitors and offering and providing refreshments.

¨ Responsible for keeping the reception area tidy.

¨ Keep Outlook diaries for meeting rooms up to date.

¨ Internal ordering of lunches and kitchen supplies.

¨ Daily computer backup checks.

¨ Visitor and staff record sheets for fire drills.

¨ Prepare meeting rooms in advance and be ready to meet and greet visitors.

¨ Provide refreshments and tidy up on conclusion of meetings.

¨ The occasional preparation of cold working lunches.

¨ General photocopying and filing.

¨ Mail and other office supplies to be collected daily from the Mailroom and distributed.

¨ Franking of outgoing post with frequent visits to the local post office.

¨ Assisting with bulk mailings on a regular basis.

¨ Occasional shopping for kitchen supplies, refreshments etc.

¨ Keep staff room and two kitchens tidy at all times.

¨ Assist with internal staff functions.

¨ Other ad-hoc tasks as required.
