HARWELL’S HUNTING CLUB LEASE RULES

These rules were not written or directed toward anyone. They are written to make an enjoyable, safe hunting environment for all. Most of these rules are common sense and a reminder. They are not written to make people feel intimidated or restricted from having a good time.

The fines, fees and suspensions imposed in these rules are not intended to take the fun from the usage of this lease. After several years of asking members to comply with the rules and having people defy them. The fines & suspensions were imposed to assist in deterring rule violations and to stop the cost of waste.

Hunting on this lease is by invitation only. Each member must be invited back to the lease each year to be a member.

All members should recognize that Bill Harwell is the lease holder and the members have paid for the privilege to be an active hunting member on the lease.

No member will call Matt Taylor the biologist, or the Management Company without first contacting Bill Harwell. These people deal with lease holder’s not members of hunting clubs.

Harwell’s Hunting Club Staff are as follows: Lease Owner Bill Harwell 281 433 4352, Sr., Manager Paris Watson 979 415 4502 Sr. Manager David Gray 832 656 4847, Manager Rocky Barr 281 845 3882, Manager Sean Lincoln 832-877-6936, Manager Tommy Gray 632-541-5463,Manager Matt Casas, Manager Chuck Cobb, and Manager Johnny Long. Any Reference to lease staff in this document will be referring to these individuals.

No person or member will display for sell Harwell’s hunting club shirts, caps, mugs, or any item with Harwell’s Hunting Club name displayed without prior approval from Bill Harwell.

1. RULE CHANGES:

Bill Harwell at any time may change, or add to these rules without notice to the membership or approval of the membership when it comes to a Harwell’s Hunting Club liability issues, funding issues, equipment issues or for the lease’s best interest. These rules will be posted on our web site www.harwellhunting.com in the future and look there for changes. Any rule change will become in effect immediately unless otherwise stated.

Annual Meeting

There will be a mandatory meeting of all the membership will posted on bulletin board in the kitchen for the month of September of each year, beginning in 2013 directly before deer season begins.

The September meeting will start promptly at 8 Am. If you plan on hunting this lease you will be present for this meeting. No lease member will hunt deer season without the info from this meeting. There will be NO one on one meeting about the information given at this meeting.

Unless you are on your death bed or working, all members must attend this meeting.

There will be a fine of $200.00 for missing or being late for this mandatory meeting.

Every Member will shoot their deer rifle and Bow at the range during the duration of this day. To relieve some of the wait to shoot at the range on meeting day in September, a member may ask a staff member to observe him or her shoot their deer hunting rifle and bow in august or September prior to the September meeting day.

This September meeting will update the member on all lease business and deer harvesting data, how to tag harvested animal, and weighting.

This September meeting will also advise members of rule changes for the current year and thereafter.

Unless you are on your death bed or working, all members must attend this meeting.

No one will enter or leave the lease during hunting hours. Before 9am or after 3Pm

Any member ask to leave the lease and not return will not receive a refund of any monies and has 7 days to remove all personal property from the lease or pay rent of 25.00 per day per item from the first day he or she was ask to leave, after 7 days.

The September member’s meeting is probably the only time that all members will be together at one time to meet and associate with everyone on the lease

When a member approaches a staff member with a problem and the staff member gives you an answer, considered it handled. Shopping other staff members for the answer you want to hear is not acceptable.

The time for a member to change a rule, is at the September meeting not at deer camp during hunting season, unless it becomes a lease liability or best interest of the lease we will stay away from rule discussion at deer camp. To request a rule change it must be put in writing and submitted to the staff for discussion as to if the change will hinder or cause liability issues for the lease prior to the annual meeting.

Once a rule has come up for change and the rule is determined to change or not to change, the discussion has become a mute issue and will not be up for discussion anymore at the meeting or after

There will be pot luck lunch and supper. All Members will get with Beverly as to the dish you should bring.

2. Top Gun Contest:

There will be a Top Gun contest conducted during the September meeting among the members.

Top Gun contest will be one shot from each member and closest to the center of the Bulls Eye wins. The contest will be held at the lease rifle range, with the rifle the member uses to hunt deer with regularly. No one will borrow another Member’s rifle to compete.

In the case of a tie in the Top Gun contest, the tie will be broken by a three round bust of fire closest to the Bulls Eye with the tightest group to determine a winner.

No Guest will compete in the Top Gun contest.

3. LEASE STAFF RESPONSIBILITY:

Make sure all lease rules are followed, making the lease run smoothly.

The term off season in this document means not during deer season, the period of months between Feburary to Labor Day weekend of each year.

4. GENERAL SECTION:

All Members and their Guest will be asked to sign the attached release/waiver form to relieve all civil litigation and liability from all parties involved.

Every person hunting on this lease will shoot their hunting rifle at the range before hunting on this lease. This must be done in the presence of a staff member and there are no exceptions to this rule.

The member or guest not having a waiver on file, will immediately upon arrival at the lease property, go to the cook shack to see a staff member for the waiver form.

The waiver form will be fill out complete with witness signatures on the waiver form.

If none of the Harwell’s Hunting Club staff are available, the Member will retrieve the blank waiver/release form from the member’s side of the cabinet in the cook shack.

The original waiver/release document will be properly filled out and dropped in the mail slot in the cook shack.

The Main camp is defined as the location where the cook shack and skinning rack is located.

When a member brings a youth to the lease, it is the responsibility of the member to supervise and entertain the child. It is not the responsibility of anyone else to supervise or entertain your child. Don’t leave the child unattended anywhere.

When a person has committed to membership on this lease by paying monies, there will be no deposits, lease fees, or fine monies refunded to any one at any time, for any reason. All money transactions are final.

Do not contact Bill Harwell or a staff member and ask to bend, overlook, stretch, or alter these rules except in writing.

Members are encouraged to make suggestions to staff members, or when no staff members are available drop suggestions in the mail slot located in the cabinet in the cook shack to help improve the hunter’s safety and smooth operation of the lease.

When a member gets stuck on this lease and someone from the lease comes to assist, you the member or guest that’s stuck should assist the member with $50.00 dollars for their trouble and fuel. The assisting member will not be responsible for any damage done to your vehicle while pulling the vehicle out. If you call a tow truck it will cost a lot more than the $50.00. Expect to pay the monies at time of service

No one should have to remind a member or guest of a rule violation.

If you the member has to be constantly reminded by the staff of a rule violation, the member should consider the reminder as a warning.

The constant reminders of the lease rules to a member or guest could result in a member or guest not being invited back to the Lease during the present season for the guest or member next season. The member could suspended a week or so from entering the lease.

When a member or guest cannot find an answer to a question in these rules, he or she should not hesitate to ask a Staff member.

One of the main problems on the lease is a member making decisions on their own and not following the rules.

Bill Harwell, or a manager should be contacted by phone, email or text when a member is going to enter the lease.

Not contacting a staff member when a member enters the lease is considered a major rule violation. With a minim of 7 day suspension from the lease.

If the management company were to contact Bill Harwell with questions of lease usage, He can answer their questions as to the member’s names and usage of the lease at any time.

This is also for safety issues; you the member may be the only person at the lease. So for your welfare and safety, the staff requires that we know you had a safe visit to the lease. To do this it requires, you the member to call a staff member when you enter or leave the lease property. .

The sign in sheet in the kitchen lets members and staff know who is present at the lease at that time as well. A 7 day suspension will apply for not signing in at the kitchen,

There will be no exception of filling out the sign in sheet when arriving or departing the lease. All members must do this. This also gives the staff a place to begin to look if you are missing.

When a member / guest departs camp to travel too his or her hunting stand, the member must go to the cook shack and place his or her magnet on lease map.

There will be no exception of placing your magnet on the map when going out on the lease. All members must do this. This gives the staff a place to begin to look if you are missing. A 7 day suspension will apply for not signing in at the kitchen,

A Membership consists of the member, his or her spouse, His or her son, daughter or Grandchild attending as a full time student in Elementary, Junior High, High school or university of higher learning. The older student must be studying for an Associate degree, Bs/Ba Degree, or Masters Degree. Student must provide proof of enrollment as carrying full load classes.

The individual attending a University of higher learning must be a direct dependent or grandchild dependent of the member. The student cannot be employed or receiving compensation from anywhere other than scholarships or government grants for school tuition. He or she must be a full time Student of 15 credit hours per semester or full load of classes; otherwise he or she should be a paying member and not hunting under the member’s membership.

A trade school is not considered a university of higher learning.

A part time college or Junior College student does not meet the standard of full load classes.

Any decisions made on full time student status will be made by Bill Harwell.

Any person not listed as a member is considered a guest.

All decisions made on lease membership business will be decided by the seniority of each member on the lease when possible.

All members and guest will always carry their cell phone at all times while traveling on this lease for communication with Staff members, Members and welfare checks. Any member or guest not carrying their cell phone on the lease could be a cause for suspension from lease property. Lease staff must be able to communicate with all members and guest at all times on the lease.

No member will arrive at the lease and go directly to a stand to hunt without passing thru the main camp first and signing in at the 607 gate. Placing a magnet on the lease map of your intended location on the lease and notifying a staff member of their presents.

If you decide to drive, operate, borrow, or use any tools, equipment or atvs on the lease that belongs to another member on the lease and you break or make the tool, Atvs, or equipment in-operable the acting member will repair or replace the equipment or tool at the acting member expense.

If a member borrows equipment or Atvs at the lease that belongs to others, the member should replace or pay the owner for the fuel. Fuel cost is expensive and you burned it.

No member or guest will cut any trees down, nail on trees, or fasten screws on to

any tree.

No Member will cut a new lane, road or trail on this lease without Bill Harwell’s permission. To do so could cause a member to be ask to leave the lease permanently.

All radios, TVs, loud noises and parties will be tuned down at 10:00 pm to respect others trying to sleep

No Member or Guest will remove any property not his or hers from another member's trailer, deer stand, tool box, vehicle, or the lease property unless prior arrangements are made.
