GIFT AID ADMINISTRATOR

Reports to: Gift Aid Manager

Salary: £18 – 21,000 depending on experience, plus generous benefits

Location: 60 Great Queen Street, London WC2B 5AZ

The RMTGB is one of four central Masonic Charities located together in Freemasons’ Hall, Great Queen Street. It has a staff of around 35 of which about half are concerned with administering support and grants to our beneficiaries and the other half with fundraising and administering donations, finance and property.

The Gift Aid department is a small team of three, who work very closely with the Fundraising Manager, to provide support for our donors. A vacancy has arisen for an experienced Administrator who will assist in the receipting and effective management of all donations, maintain a large donor database and effectively support our fundraisers.

Principal Responsibilities:

· To assist in the receipt, recording and allocation of donations on two separate donations systems, one which is ‘Oracle’ based and another smaller Microsoft ‘Access’ based system.

· To answer queries and compose letters arising from post, telephone/email or personal enquiries.

· To liaise and communicate with donors, fundraisers and members of the Finance department as required.

· To maintain the departmental filing system, including all Gift Aid declarations and envelopes. To provide information for external Auditors/HMRC Inspectors when required.

· To assist in the possible integration of the Microsoft ‘Access’ based system into the larger ‘Oracle’ based system.

· To assist with any other ad hoc admin duties as required.

Personal Specification:

· A flexible, team working approach and a willingness to help with all aspects of running an effective department.

· Good organisational skills and the ability to prioritise a busy and varied workload.

· Good understanding of Microsoft Office applications, particularly Word and Excel.

· Excellent standard of English and the ability to compose concise and appropriate letters/emails.

· Good standard of maths and basic accounting knowledge.

· Good communication skills and an excellent telephone manner.

· Ability to produce accurate work with close attention to detail.

· A working knowledge of the Gift Aid Scheme would be an advantage.

Terms and Conditions:

Contract: Permanent after successful completion of a six-month probationary period

Salary: £18 – £21,000 p.a. depending on experience, plus generous benefits

Hours: 34 hours Monday to Friday (9am – 5pm Monday to Thursday and 9am – 4pm Friday)

Holidays: The leave year runs from 1 January to 31 December. Entitlement is 28 days per year, of which three days must be used between Christmas and New Year (rising incrementally to 33), in addition to statutory holidays

Pension: Contributory pension scheme (3.5% employee, 9% employer)
