Fileworx – Enterprise Content Management System

Introduction

The information revolution led to an increase in the quantity and types of channels and mass media means available. Satellite TV channels spread unprecedentedly, whereas the internet brought into existence new media channels that never existed before, in addition to the other types of media such as newspapers, printouts, radio stations, and others.

Many public and private organizations need to monitor different types of media contents for different purposes. It is practically impossible to monitor this huge flood of media content without a fast and robust system that would enable them to automate the monitoring of information from the different sources, and then process, analyze, and deliver it to the right persons at the right time in order to take the necessary actions in a short timeframe.

Fileworx from SEDCO, the leading provider of solutions for media monitoring in the Arab countries, is the ideal solution for these organizations to fulfill their needs and increasing challenges. The system receives information from different sources, including satellite and radio channels, printouts, internet, and others. This information is then processed and analyzed in the system before it is finally delivered to decision makers quickly and accurately. The system also archives the information in an easily retrievable way for future retrieval and analysis.

The system is quite modular where you can pick the exact modules that best fit your need and allocated budget. The system is expandable and upgradeable in the future to include additional modules, channels and users.

This document provides a detailed description of Fileworx solution along with its different functions and features.

Solution Overview

Fileworx for Media Monitoring is a comprehensive solution for the monitoring of different media contents from different sources, including satellite channels, news agencies, web sites, newspapers, printouts, and others.

The following diagram shows the main steps and processes of media monitoring covered by the system:

Media monitoring organizations receive media contents of different types from different sources, such as:

· Audio and video clips from radio and TV stations.

· Photos and text news from news agencies

· Web sites

· Internet E-Mail / Fax

· Paper documents

· Reports and correspondence

All these contents are viewed and edited by internal editors according to predefined workflow process until they are routed to a chief editor for final approval. Customized reports are then generated for decision makers, and the information is archived in Fileworx long term repository for future retrieval.

Media Management

Fileworx media management module enables you to automatically capture audio and video feeds from satellite receivers and other sources and store them for future retrieval. These audio and video feeds are then processed, archived and delivered to intended destinations.

Fileworx supports different audio and video formats as well as high and low resolutions, thus satisfying the needs of various media applications. This multimedia module integrates with other Fileworx modules, making a comprehensive solution.

Media Capturing

Capturing audio and video clips is where media management process starts. Fileworx supports the capturing of audio and video feeds from satellite receivers, cameras, recorders and other devices. Receivers can be computer-controlled to tune to the right station at the right time, noticeably saving the time and effort of a human operator.

The system captures high quality audio and video clips from different sources. Since high quality video clips are not suitable for fast browsing and streaming over the local network, the system supports the conversion of clips from high quality to low quality video clips, which are identical to the original ones but at a lower resolution.

Fileworx supports three types of capturing:

· Scheduled capturing: In this case, it is possible to define the time, duration, and recursion of programs so that the capturing of a certain program starts automatically at a certain moment and extends to a certain period. The schedule can be set to repeat periodically.

· Attended capturing: It is possible for capturing to start and end upon user request. The user browses channels and when something interesting is found, the user initiates the recording process until it is stopped upon request.

· Continuous capturing: This is the ongoing capturing of feeds, 24 hours a day. The system keeps the latest days in a circular buffer. This means that at any moment in time you will be having a recording for the last X number of hours or days. The number of hours or days is user-defined.

Media Processing

Fileworx media management module enables you to manage and process the different audio and video clips captured through the different reception channels. This includes:

· Dictation

This feature enables the users to listen to an audio or video clip while typing the corresponding text. The system facilitates the entry of the text by a user by providing an optional foot control to pause and play the media clip. The user's hands will be free to type on the keyboard as he uses his foot to control the media clip playing.

· Media Editing

When a media clip is captured, it might contain some unneeded segments such as commercial advertisements. The system includes a built-in audio and video editor to cut, copy and paste media segments. The system can integrate with third party audio and video editors, allowing for advanced editing.

Retrieving Captured Media

Fileworx makes it very easy for the user to retrieve the recorded media by introducing the calendar view, using the calendar view the user can navigate the dates of the desired recordings and can also set the number of days visible at once, this way the user can finish his work faster and more efficiently.

Media Streaming

Media streaming is the mechanism by which the media management module enables the users to view directly from their workstations to the audio and video clips that are being recorded from the different channels.

With Fileworx media management module, you can stream live audio and video feeds over the network, enabling the users to view and listen to these feeds from their local workstations.

The system allows you to minimize the network bandwidth requirements through multi-casting, where all users viewing the same feed will be receiving the same packet, instead of sending the same packet to each user.

Media Archiving

Archiving is the last stage of media management, where all audio and video clips have to be stored and archived in a way that allows for the quick retrieval of these clips whenever needed. Media monitoring organizations essentially require a well-established archive to facilitate the management of media clips in and out of their content-rich archives.

Fileworx media management module enables you to define different types of audio and video clips (e.g. news, film, song, etc), with each type having its own indexing fields. The system arranges audio and video clips in folders, using the classification tree method.

You can build queries to retrieve audio and video clips using their indexing fields according to any search criteria you define.

The system supports online, near online, and offline storage, with no limitation on size or type.

Speech Recognition (Optional)

Your media management module can include a speech recognition engine that enables real-time recognition of speech irrespective of the speaker. The system supports many languages including Arabic, English, German, French and other.

The recognized text is used, then, to index the media clip so that a user can retrieve a media clip in terms of keywords within the clip.

Alarms

The users can define alarms in the system so that when certain keywords occur in the recorded channels the system alerts the user about these channels, the alerts can be as simple as a simple flashing alert on Fileworx browser or even an SMS or Email message that is automatically sent to the user.

Media Search

Once speech recognition is enabled and clips are indexed in terms of spoken words, users can perform media lookup according to the occurrence of certain keywords, the screen shot below shows the search form where the user was looking for the media clips where the keyword Syria was spoken.

The search form shows the search results in the results list grouped by the channel name, when the user clicks on one of the results the clip starts playing in the media player pane and below it the form enables the user to search for different keywords within this search result, which helps in narrowing the search to reach the required result.

Translation

The system offers the ability to translate the recognized text into mother language and index the translated text into the database, the translation occurs in on real time bases so once a video chunk is recorded and recognized the recognized text will be immediate translated.

The main use if this feature is for cross language search where the user looks for the occurrence a certain Arabic key word in the recordings of non-Arabic channels.

On demand translation for News objects is also available for editors which can help a lot in finishing the translation tasks faster.

Media Web Portal

The system offers a web interface to access the live streams as well as the recorded clips, this interface helps external users to follow up on the daily work without having to be inside the site premises.

In addition to web streaming, the system offers the capability to stream videos to tablets and smart phones to achieve a fast information delivery mechanism.

Accommodating different internet speeds

The system can be configured to stream both live and recorded media using different qualities (bit rate & resolution) to accommodate different bandwidth requirements so that client doesn't experience any distortion or picture pausing.

Media Search

Searching in recognized speech or the archived materials is available through the Media Portal.

Document Management

Document management module enables you to scan and acquire paper images, edit and annotate them, and then archive them within your Fileworx system. It can be used in the media monitoring systems to facilitate news articles scanning. Moreover, OCR can be included also to facilitate text extraction.

This module includes a built-in designer, which enables you to define different types of documents with each document type having its own metadata, functions, forms, queries and workflow.

It also includes basic and advanced functionality, as well as many communication modules. It is possible for you to adopt as much functionality as you need depending on your need and budget.

Optical Character Recognition – OCR (Optional)

The Optical Character Recognition (OCR) engine extracts text from a document image file. This text can then be made available to other applications or modules. The extracted text can be used to index the document in an FTR (Full Text Retrieval) engine; thus making the document searchable through its text content.

The administrator has the ability to create OCR profiles. These profiles help in automatically OCRing part(s) of a document, and then storing the text in the document's meta-model. This applies to any document stored in the system.

Advanced Imaging Features (Optional)

Your Fileworx solution can optionally include the following advanced imaging features:

Scanning Service

Fileworx document management module (DMM) is extremely flexible, allowing for the use of different types and sizes of scanners with the system. These scanners range from desktop scanners to high volume scanners. The system supports any TWAIN, ISIS or Kofax compatible scanner, which allows for the use of the most popular scanners available in the market.

Fileworx DMM supports all paper sizes (as long as the scanner supports it) and all paper orientations including portrait and landscape. The system can scan in simplex or duplex mode.

The scanning profiles enable the user to set scanner settings and to save them under a special profile. Users can create an unlimited number of profiles. All major settings can be controlled using this method including paper size, resolution, brightness, orientation, contrast, colored scanning, or black and white.

The system supports scanning black and white documents, gray scale and colored documents. Once a document is scanned, it can be edited and processed through the built-in document editor (described in the following section).

Document Editor

Fileworx DMM is equipped with a built-in document editor. The user can view documents, edit them, add annotations and do much more using the editor.

The document editor is equipped with thumbnail viewer to easily handle multi-page documents. The thumbnail viewer provides faster navigation, pages comparison, and a fast way to arrange document pages. The editor provides a customizable toolbar which makes document editing much easier.

The document editor has different features that range from standard to advanced, such as:

o Cut, copy, paste, crop pages or part of the page

o Zoom in and out

o Fit to height, to width or best fit

o Rotate images left or right / Flip images

o Show / hide thumbnails

o Change document resolution / colors

o Undo/redo

o Print document

o Scan images

o Straighten and de-speckle to enhance the readability of the image and reduce the number of scans.

Web Crawler

Fileworx web crawler facilitates the search and download of web pages and RSS feeds, by allowing you to define different internet websites and specify the search conditions within each site. The system then downloads the web pages to which the conditions apply and stores them in an easily retrievable manner.

Fileworx web crawler also enables the search and monitoring of social media sites (Facebook, Twitter and YouTube), the user can either provide the crawler with a search keyword to search for in all public feeds or the user can choose to monitor a specific user page or channel for new updates.
