FERRING RESIDENTS’ & OWNERS’ ASSOCIATION
Minutes of the Executive Committee meeting held in Ferring Village Hall
on Tuesday 8th January 2008 at 7pm.

Attendees: Trevor Martin, Sally Hutchinson, Angela Davis, Trevor Hill, Diana Wood, Janet Porter and Sue Dixon
1. Apologies for absence: Chris Headon and Ian Phillips
2. Minutes of the meeting of the Executive Committee meeting held
on Tuesday 11th December 2007 were agreed with no matters arising.
3. Treasurer’s Report.
Trevor Martin passed round the accounts to the end of December 2007. He confirmed that the total amount of subscriptions paid for 2007 was 1148 (over 90% of residents).
4. Membership Report
Angela Davis confirmed that all subscription notices are ready to go out.
5. Roads Report
Chris Headon was unable to attend and there was nothing to report.
The committee discussed the subject of road gritting in the icy weather and it was confirmed that it is the responsibility of the West Sussex County Council to grit the public highways. As the roads in Ferring are public highways this would be responsibility of WSCC.
6. Road Warden’s Report
Janet Porter confirmed that she is ready to distribute the following notices to all wardens:-
i) Subscription Notices
ii) Contributors’ Notices
Les Anderson and Angela Davis confirmed that they will let her have all the above by the middle of next week and Janet will pass them on to the wardens by the following weekend.
7. Garden’s Report
Trevor Hill reported that the contract for the year is now complete and he is awaiting final invoices from the contractor. Estimates are included in the accounts as submitted.
Preparations for 2008 are now in hand with an initial look at figures obtained by the Parish for all village areas including FROA sites. Breakdowns of these will enable us to consider prices for the new contracts due to be let from March.

9. AOB
The committee discussed the two letters submitted by a resident of
Polperro Close and decided unanimously that, on their behalf, we
should make a claim on the Water Board.
Ferring Grange Gardens. The Chairman introduced and reviewed the correspondence between Mr John R Allen MBE and the Association, going back over several years, copies of which had been distributed to the
Committee the previous week. There was a full discussion on the case
after which the Committee reached the unanimous conclusion that there
appeared to be nothing to change their decision of the 10th October
2006 and 12th December 2006. In an attempt to find an equitable
solution the Chairman was instructed to write to Mr John R Allen MBE,
via his solicitors, and restate the facts of the case, with the
supporting evidence, from the beginning, and trust that wise counsel
would prevail. If this were not to happen then the Association would
have no choice but to call a Special General Meeting of the
Association in order to obtain their approval for the expenditure
necessary for legal representation in any future proceedings. The
reimbursement of such expenditure, of course, would be claimed should
the Association be successful, as was expected in view of the evidence
available, in defending its position.
