Energy Department

I.  Position Title: Receptionist – Energy Department

II.  Employment Classification: Non-exempt

III.  Reports to: Energy Program Manager

IV.  Supervisory Responsibilities: None

V.  Fundamental Objectives: Manages all telephone calls in a manner that provides a positive representation of Community Action Partnership of Kern and the Home Energy Assistance Program to individuals and the community. Assists clients with questions, appointment needs and referrals.

VI.  Major Duties and Responsibilities:

A.  Answer telephone, route calls, and take messages in a tactful, courteous manner.

B.  Make appointments for applicants both walk-in’s and telephone calls.

C.  Make referrals as necessary.

D.  Receive and assist visitors, staff, and clients in a courteous manner.

E.  Furnish general information to the public.

F.  Perform general clerical support functions including faxing, copying, mail services, typing, and filing.

G.  Acquire knowledge of and comply with program guidelines and agency policies.

H.  Work independently with planning, organization and insight to the needs of the program and staff.

I.  Perform other duties as assigned.

VII.  Health Requirements:

A.  Physical and substance abuse screening required upon offer of employment.

VIII.  Minimum Qualifications:

A.  High Schools diploma or equivalent.

B.  One year general clerical experience or completion of clerical training may be substituted for one year of clerical experience.

C.  Bilingual (English/Spanish) highly preferred.

D.  Ability to type 40 wpm

E.  Maintain a pleasant and helpful attitude

F.  Ability to work with people of different socioeconomic backgrounds and representative from various community agencies.

G.  Must have knowledge of:

1.  Use of computer, Microsoft windows and software applications, including recent versions of Microsoft Word and Excel.

2.  Proper telephone and customer service protocol.

3.  Effective English written and oral communication skills, including proper grammar, punctuation, and spelling.

H.  Must have ability to:

1.  Communicate effectively with staff and visitors.

2.  Utilize computer effectively.

3.  Operate standard office machines.

4.  Follow instructions as issued by supervisor.

5.  Maintain a professional, pleasant and helpful attitude.
