RE: Campus Life Awards Nominations

In accordance with the guidelines for the Annual Campus Life Awards celebration, please find attached your personal packet of nomination and application information. It is essential to note that ALL LETTERS OF NOMINATION ARE DUE BY FRIDAY, MARCH 20, AT 5 P.M. DELIVER TO KATHY MOSS IN CAMPUS LIFE CENTRAL, DUC 401.

1. Employees may nominate colleagues and/or themselves for any category in which they qualify (ex: Distinguished Service for administrators, for support staff, and for custodial, food service, or facilities maintenance staff). A roster of all Campus Life awards and their criteria for eligibility is noted on the enclosed sheets. A letter of nomination should be submitted, placing emphasis upon: years of service, demonstrated leadership, how the candidate fits the criteria and participation in division and University activities, service to the Emory and local communities, and other outstanding achievements. Resumes and other documentation may also be attached. You must submit ONE hard copy of each letter of nomination AND email that same letter to Kathy Moss () in Campus Life Central, DUC 401, by 5 P.M., Friday, March 20, 2009.

Candidates for all honors in the administrative and support staff categories are evaluated solely on the basis of the information in the nomination letter (and resume). Candidates in the technical support staff categories will be evaluated by information in nomination letters and by information provided by their supervisors to the awards committee.

2. The enclosed sheets titled "Campus Life Awards of Service (CLASS) Awards Categories" provide the criteria for the various categories. Please read this information carefully prior to nominating an individual or yourself, as specific requirements are stated for each award.

3. Each employee in Campus Life is encouraged to nominate the "Friends in Faculty." The Campus Life "Friends in Faculty" honors are presented each year to two faculty members who demonstrate active support for Campus Life endeavors.

4. All information pertaining to your nominations for all awards will be coordinated in a confidential manner. All results from the awards selection process will be held secret until the luncheon celebration on May 6, 2009.

5. All Campus Life employees will be invited to the Campus Life Awards ceremony.

Campus Life Awards of Service

(CLASS)

To underscore meritorious and deserving performances, all awards may not be bestowed on an annual basis.

THE AWARDS COMMITTEES ALSO RESERVE THE OPTION TO PRESENT FEWER THAN THE MAXIMUM NUMBER OF AWARDS ALLOWED PER CATEGORY.

AWARDS CATEGORIES

1. Campus Life Awards for Distinguished Service - three divisions:

Prior recipients are ineligible for the same award for a minimum of three years. (Please refer to previous recipients list that is attached.)

A. Administrative - presented to a maximum of one administrator in the Division on the basis of exceptional performance defined on the nomination/application form.

B. Support Staff - presented to a maximum of one support staff professional in the Division on the basis of exceptional performance defined on the nomination/application form.

C. Technical Support Staff (custodial services, food service, facilities maintenance) - presented to a maximum of two technical support staff professionals in the Division on the basis of exceptional performance defined on the nomination/application form. In addition to letters of nomination, area supervisors will be invited to submit the names of employees to the awards committee based upon performance. The Awards Committee will seek supplemental nomination information in the Technical Support Staff categories to assist the Awards Committee in acquiring nominees and selecting recipients.

2. Humanitarian Award - presented to a maximum of one employee/associate in the Division on the basis of noted and confirmed altruistic contributions to the Emory or local community during the previous year; further, this honor also underscores the Division's stated support for philanthropic purpose.

3. "Friends in Faculty" - presented to a maximum of two faculty members in the Emory University community who have demonstrated significant support for the Division of Campus Life, for the Division's programs and services, and for the quality of student life.

4. “Campus Life Support” – presented to a maximum of one staff member in the Emory University community who has demonstrated significant support for the Division of Campus Life, for the Division’s programs and services, and for the quality of student life.

5. "The Helen W. Jenkins Lifetime Achievement Award" - named in honor of the division's distinguished Senior Food Service Liaison; presented only when a deserving candidate appears, this title recognizes the individual who has demonstrated lifetime commitment and effort as an employee/associate of the Division of Campus Life.

5. "New Professionals Honor" - three divisions:

A. Administrative - presented to any administrator in the Division who has demonstrated exceptional performance, attitude, and motivation in the execution of duties defined on the nomination/application form. The recipient has two years or less employment at Emory and five years or less full-time employment in the field of university student affairs, administration, campus life, or athletics.

B. Support Staff - presented to any support staff professional in the Division. Criteria for selection are identical to those written above.

C. Technical Support Staff (custodial services, food services, facilities maintenance) –presented to any two technical support staff professionals in the Division. Criteria for selection are identical to those written above. In addition to letters of nomination, area supervisors will be invited to submit the names of employees to the awards committee based upon performance.

6. Ethical Leadership Award - presented to a maximum of one employee/associate in the Division of Campus Life on the basis of demonstrated ethical leadership. Honesty, integrity, ethics, principles, and values are possible and prominent characteristics in the recipient.

7. Research and Publication Award - presented to a maximum of one employee/associate in the Division of Campus Life on the basis of demonstrated and significant contribution to student personnel administration. Contributions may be made through: published articles, original conference/workshop presentations/papers, research projects, student personnel model/concept development, or other effort that positively enhances Emory Campus Life quality.

NOMINATION AND SELECTION PROCEDURES, 2009

1. Announcements pertaining to the awards program, its categories, and its nomination and selection procedures will be distributed to all Campus Life employees in the opening weeks of each spring semester (including all eligible food service employees). All Deans and Directors in the Division of Campus Life will receive a full packet of awards materials.

2. Applications/nominations shall be encouraged for all categories. The deadline for returning all applications/nominations shall be clearly stated. Campus Life employees may nominate themselves.

3. All nominees for the Distinguished Service and New Professionals Awards must be approved by their supervisors for consideration. The awards committee shall coordinate this aspect of the program confidentially.

4. All approved nominations/applications shall be placed before a carefully designated panel of Campus Life professionals; an odd number of panelists is represented to lessen the possibility of a tie vote. Special emphasis is placed upon ascertaining that the panel is partially staffed by employees from the categories being considered. However, a nominee for an award may not serve on the panel evaluating the honor to which (s)he has been nominated. The Campus Life Staff Development Committee shall designate the selection panelists.

NOTE: It should be stressed that all discussions of the applicants/nominees and of the selection procedures must remain confidential before, during, and after selection, in deference to the privacy of all Campus Life employees.
