· Thank you cards for Judges and warm up speaker. $20 petrol voucher for each external judge (including Chief) and warm up speaker if external

Before contest begins:
· Check where judges are to sit
· Get president to sign all certificates
· Get eligibility forms completed and give to chief judge
· Give placing certificates to chief judge
· Brief timekeepers if necessary
Contest
· S @ A opens meeting, welcomes, introduces Contest Chair
· Contest Chair: -
· Welcome Fellow Toastmasters or Ladies and Gentleman
· Welcome and thank Judges (not naming them) for taking the time to judge
· Welcome warm up speaker
· Ask that all cell phones be turned off or onto silent
· Invite all contestants to come forward – get them to pick speaking order
· Get S@A to write names in order on the white board (name only, not title of speech)
· Brief contestants on the speaking area
Read out rules:
Purpose:
To provide an opportunity for speakers to improve their speaking abilities and for us to learn by observing speakers who have benefited from their Toastmasters training. To recognise the value of humour in speaking.
Each speech shall be from 5 to 7 minutes. Contestants who speak less than 4 min 30 seconds or more than 7 min 30 seconds will be disqualified.
Time will begin with the first verbal or non verbal communication. The green light will be turned on at 5 minutes and will remain on for one minute. The amber light will be turned on at 6 minutes and will remain on for one minute. The red light will be turned on at 7 minutes and will remain on until the speech is concluded. No audible device, such as a buzzer shall be used for the over time period.
Ask the timekeeper to test the lights.
· There will be 1 minute silence at the end of each speech to allow the judges to complete their ballots.
At the completion of the final speech there will be silence until the judges have finished marking and then we will break for coffee while the judges collate the points.
· Contestants will remain in the room for the duration of the contest.
· If there are any time disqualifications this will be announced prior to the results. The name of the contestant will not be announced.
Begin the contest
· Introduce the warm up speaker and thank them afterwards
· Introduce each speaker:

· Introduce each contestant in exactly the same way (wording and tone)
· When each contestant has finished speaking ask for one minute silence.
· At the end of the last contestant ask for silence until the judges have finished marking
· Ask S&A to collect judges’ ballots and time record and hand them to the chief judge.
· Take judges to a separate room (the bar) and ensure they get tea/coffee
· During coffee break fill out all participation certificates, sign and get President to sign (if not already done).
· Sergeant at Arms to check with chief judge for indication that they are ready to announce the results
· Sergeant at Arms to announce that the meeting will resume, welcome everyone back and then hand the meeting back to the Contest Chair.
· Contest Chair to make a general comment – e.g. congratulate all contestants on high standard of speeches. Do not comment on the speeches.
· Ask all contestants to the front, hand out participation certificates and lead applause.
· Invite Chief Judge up for comments and to announce the results
· Invite the Judges and warm up Speaker up and thank them all, give them the cards and vouchers.
· Ask that the chief judge destroys the ballots.
· Thank everyone that had an input into the competition, timers, S@A, tally counters etc.
· Thank the audience, congratulate the contestants and place getters.
· Remind audience of the Area Contest date and invite everyone to support our representative.
· Close the contest.
· Make sure the Speakers Certificate of Eligibility and Originality is filled out by the winner and that they will be available to represent Boaters at Area contest. (To be given to Area Governor)
· Remind 2nd and 3rd place getters that they may be asked to represent Boaters if the 1st place getter is not available.
Go and drink coffee.......
