Position: ReStore Donation Procurement Manager
Location: Mon County Habitat for Humanity
Position Classification: Full-Year/ Full-time / Salaried
Immediate Supervisor: Director of Operations
Direct Reports: ReStore Truck Associates, Warehouse Associates and volunteers as assigned.
II. Purpose of Position:
To oversee donation solicitation procurement for the Mon County Habitat for Humanity ReStore. This includes but is not limited to: engaging the existing donor base, cultivating new donor relationships, and ultimately increasing ReStore profitability. This person will implement and manage donor identification, donor cultivation and retention programs for the ReStore. This position provides sustained network development to expand the scope of Habitat ReStore donation activities and develop long-term, collaborative relationships with community based trade groups, businesses, churches, donors and others to secure donations and raise awareness of Mon County Habitat for Humanity’s mission in the community and the role that the ReStore plays in helping the organization carry out its mission.
III. Qualifications:
Education: Minimum high school graduate or equivalent with appropriate experience in retail & home improvement.
Experience: Minimum five (5) years’ experience with previous Habitat for Humanity volunteer or work experience preferred.
Physical Requirements:
· Ability to be on one’s feet for extended periods of time
· Ability to lift at least 50 lbs. on a regular basis
· Ability to work in varying weather conditions – sites are often not heated during winter and not air-conditioned during summer
· Ability to sit at a desk and computer for extended periods of time
· At least 20% of this position requires outreach in the community
Other Requirements:
· Valid Driver’s License and ability to meet MCHFH’s insurance requirements.
· Ability to drive large pick-up trucks & box trucks.
· Proficient with Microsoft Office Suite/Word/Excel/PowerPoint
· Strong written and verbal communication skills
· Public speaking experience preferred
· Marketing experience is highly desirable
· Knowledgeable about community development
· Knowledgeable about the mission and activities of Habitat for Humanity
· Detail oriented and highly organized
· Experience working with volunteers or teaching/group facilitation experience helpful
· Experience working as a member of a team
IV. Areas of Responsibility
A. Donation Procurement: Specific Duties
1. Identifies point of contacts for potential donors and establishes relationships with community based trade groups and area businesses, churches, donors, contractors, sellers (retail, wholesale), distributors, and manufacturers to secure donations.
2. Maintains strong relationships with our current donor base and communicates regularly to solicit reoccurring donations while providing a high level of customer service to all donors
3. Develops prospective and current donors into life-long donors and advocates for the ReStore
4. Works with the Director of Operations to create and execute a ReStore Donation Procurement Plan including goals, budgets, and a calendar.
B. Donor Relations: Specific Duties
1. Maintains a current and up to date ReStore Donor Database.
2. Communicates regularly with all members of the ReStore Donor Database to maintain active relationships and regular donations.
3. Perform follow-up calls to donors to express appreciation and assess driver’s work performance & donor satisfaction.
4. Recommend changes in policies/procedures to complement donor conditions and trends
C. ReStore Operations: Specific Duties
1. In cooperation with the ReStore Floor Manager, strives to exceed daily, monthly and yearly sales goals in order to accomplish the mission of building more Habitat for Humanity homes.
2. Work closely with ReStore Floor Manager to communicate incoming donations and donation trends.
3. Works to identify sales trends and patterns so as to identify the most marketable donations in conjunction with the ReStore Floor Manager.
4. Learn donation patterns and manages the pick up schedule utilizing volunteer and employed drivers to best serve the needs ReStore donors.
5. Schedules pickups utilizing mapped routes that maximize cost effectiveness and time utilization.
6. Hires, manages, and leads ReStore Truck Associates & Warehouse Associates.
7. Makes recommendations to the DIRECTOR OF OPERATIONS on all warehouse and truck associate staffing and personnel issues.
8. Ensures that inventory control and safety procedures are followed and enforced.
9. Keeps the receiving area clean, organized, free of debris, and ready to receive donations at all times.
D. Vehicle Maintenance & Scheduling: Specific Duties
1. Performs daily, weekly, and monthly vehicle maintenance on ReStore vehicles.
2. Ensures that all vehicles are clean, fueled, and deployable at all times.
3. Notifies the Director of Operations of any non-maintenance related issues associated with ReStore vehicles.
4. Schedules waste disposal and recycling trips as needed.
5. Trains Truck Associates on all safety & policy related issues to ensure quality donation selection while maintaining a safe work environment.
E. Volunteer Engagement & Management: Specific Duties
1. Recruits, engages, and leads volunteers in the ReStore to carry out daily, weekly, and monthly operational needs in the warehouse and on the truck.
2. Ensures all volunteers are properly trained & adhere to all MCHFH policies, procedures, and guidelines as outline in the ReStore Manual.
3. Identifies and develops new methods for volunteers to become engaged in the ReStore in new and innovative ways.
4. Tracks volunteer hours and schedules volunteers using VolunteerUp.
F. Administrative: Specific Duties
1. Compiles reports as requested by the Executive Director & Director of Operations.
2. Proposes improvements to policies and procedures.
3. Makes posts to and encourages interaction on Facebook, Twitter, and other appropriate social media regarding new partnership and new merchandise
G. Continuing Education and Training: Specific Duties
1. Must attend training and other educational opportunities to enhance job performance by maintaining and developing skills in organization, time management, marketing, volunteer utilization, and others as assigned.
2. Must attend ReStore specific training including ReStore University, Affiliate Conferences, and other as assigned.
H. Relationships: Specific Duties
1. Must establish and maintain cooperative relationships with the following:
Internal: ReStore Staff & Volunteers, Affiliate Staff, ReStore Committee Members
External: Visiting & local volunteers, sub-contractors, suppliers, vendors of construction materials, and the local community.
